Before you start
You can send emails in HoneyBook using the HoneyBook email sender or your integrated email
Email visibility depends on whether recipients are clients or team members, and on team member permission levels
HoneyBook shows delivery status but no longer tracks the number of times an email was opened
Choose the HoneyBook email sender
Default HoneyBook email sender
If you don’t integrate your own email, HoneyBook uses default sender addresses. These may look unfamiliar to clients but are secure and expected:
System notifications such as new inquiries, scheduler sessions, client portal link emails, payment reminders, or access codes are sent from [email protected]
Regular email communications such as messages you send through projects, client workspaces, or templates are sent from randomized addresses. Each randomized address is unique to the specific message, which is why clients may see a string of numbers and letters before @pm-inbound.honeybook.com
Even if these addresses look unusual, they are legitimate and ensure secure delivery of your HoneyBook emails

Clients see your connected address in the “From” field
Replies appear in both HoneyBook and your regular inbox
Sent messages show in your integrated account’s “Sent” folder.
📚 Tip
Using email integration can reduce confusion about the HoneyBook email sender.
Set email recipients
When you send emails in HoneyBook, you decide who receives them:
Add a recipient: Select the + (plus) icon, then choose a project participant
Clients: Only see messages and files they were included on. They don’t automatically get access to past communication if they weren’t originally part of the thread.
Team members: Access varies by role. Moderators, admins, super admins, and owners see full project communication, while basic team members only see threads they're added to.
Remove a recipient: Select the X by their name. They’ll no longer receive or view that message.
📣 Note
Emails sent outside of a project can only go to one contact.
Write and customize your email
When sending emails in HoneyBook, you can:
Format text (bold, italics, underline, links)
Add smart fields (in the body only)
Insert your email signature for a professional touch
Use templates to quickly send consistent, branded messages
Ways to send emails in HoneyBook
You can send emails from multiple places in HoneyBook:
From a project’s activity feed: Send messages to participants in that project
With a smart file: Share a file with a customized email message
From the contact workspace: Send a project message or standalone email
With automations: Automatically send messages based on project triggers
Send emails in the mobile app
On iOS or Android, you can send emails in the HoneyBook mobile app directly through projects:
Open the HoneyBook mobile app
Tap Projects or search, to find and open the project
Tap Send email (new message) or Reply (existing thread)
Changing the subject line starts a new thread
Using a template in a reply also creates a new thread
Write your message, or use a saved template
Tap Send
Track email delivery in HoneyBook
You can track whether your email was delivered and its current status:
From a project’s activity feed: See all sent emails and client replies
From the contact workspace: Review all communication across projects for that client
From the Inbox widget on the HoneyBook desktop site: View unread client or collaborator replies
📣 Note
HoneyBook no longer shows how many times an email was opened. Only the delivery status is available.
