Share your smart files

Send your smart files to clients through the builder, project workspace, or by sending them a link directly to the smart file.

After you’ve built your smart file and it's ready to go, you can share it with your clients in several ways.

Once shared, clients will always have access to the client portal as long as they are part of that project. Learn more about the client experience in the portal.


Send the file from the template builder

If you’ve been building a smart file as a template (a great move if you want to be able to send this smart file to multiple clients!), here’s how you share it:

  1. While editing a template, select Update Template in the top right corner to save changes you made > select Use Template

  2. Configure this file's settings if you haven't already

  3. Decide whether you'll share the file in an existing project or create a new project

    1. If you're using an existing project, search for the project

    2. If you're creating a new project, name the project and enter the client's contact info

  4. Make any needed changes to the template for it to fit this specific project and client

  5. Double-check the file's settings by selecting the gear icon in the top menu > select Save & Exit

  6. Select Share in the top-right corner of your screen

  7. Compose the email that this file will get shared with:

    1. Create a new message

    2. Grab the link to this smart file and share that

  8. Select Send

📚 Tip

There are two other ways to share your file under the Send drop-down. You can schedule the smart file and email to send at a later date and time, or send a test to yourself to review before sending to your client.

Once sent, your client will receive their smart file via an email sent directly to their inbox, and they can open and take action from any device! Here’s what they experience when you share.


Send a new file from the project workspace

  1. From within the project workspace, select Create New > select which smart file you want to create

  2. Select how you'd like to begin this smart file. You can:

    1. Quickly select from your most used or recently sent templates,

    2. Head to your full menu of templates,

    3. Start with a recommended template from the Template Gallery,

    4. Start from a blank smart file

  3. Double-check the file's settings by selecting the gear icon in the top menu > select Save & Exit

  4. Select Share in the top-right corner of your screen

  5. Compose the email that this file will get shared with:

    1. Create a new message

    2. Grab the link to this smart file and share that

  6. Select Send

Need to schedule the smart file and email to send at a later date? Do not click send; instead, select the send drop-down and follow the steps for a scheduled send.

Send a file with a direct link

If you need to share this smart file via text message, social media DM, or any other avenue, you can create a direct link instead of sending an email!

Choose this option if you want to make a smart file accessible to all participants in the project without notifying them/sending an email.

  1. Follow either of the sets of steps above, but stop when you see the email composer

  2. Instead of sending an email, select the Create a Link button below it

    1. If you create a direct link, this email's status will get set to Sent, but no email will send

  3. Confirm you understand that the status will change but no email will get sent.

A direct link will be created based on your customized client portal URL. You can copy and share this link with project participants as you wish. Those who receive the link will be able to access and interact with the file, and they will also find the sent file in their client portal.
