All about the different ways to send your smart files to clients.

After you’ve built your smart file and it's ready to go, you can share it with your clients in several ways.


Send a file via email

From the template builder

If you’ve been building a smart file as a template (a great move if you want to be able to send this smart file to multiple clients!), here’s how you share it:

  1. While editing a template, select Update Template in the top right corner to save changes you made > select Use Template

  2. Decide whether you'll share the file in an existing project or create a new project

    1. If you're using an existing project, search for the project

    2. If you're creating a new project, name the project and enter the client's contact info

  3. Make any needed changes to the template for it to fit this specific project and client

  4. Double-check the file's settings by selecting the gear icon in the top menu

  5. Select Share in the top-right corner of your screen

  6. From the Send to: or Reply to: field, choose the recipients of the email that will go out with the file. You can:

    • Keep as-is

    • Select the plus (+) sign to add a new project participant who will receive the message, or

    • Click the X by a recipient's name to remove them from the message

  7. If you'd like to adjust who can actually view and perform actions on the file, select Who can access this file?

    1. Toggle file access ON or OFF for the existing project participants

    2. Click Done to save your changes

  8. Compose the email that this file will get shared with

  9. Select Send

📚 Tip

There are two other ways to share your file under the Send drop-down. You can schedule the smart file and email to send at a later date and time, or send a test to yourself to review before sending to your client.

Once sent, the email recipients will get the smart file via an email sent directly to their inbox, also shown in the project, and they can open and take action from any device. Here’s what they'll experience when you share.

From a project

  1. From within a project, select Create New > select which smart file you want to create

  2. Select how you'd like to begin this smart file. You can:

    • Quickly select from your most used or recently sent templates,

    • Head to your full list of templates,

    • Start with a recommended template from the Template Gallery, or

    • Start from a blank smart file

  3. Double-check the file's settings by selecting the gear icon in the top menu

  4. Select Share in the top-right corner of your screen

  5. From the Send to: or Reply to: field, choose the recipients of the email that will go out with the file. You can:

    • Keep as-is

    • Select the plus (+) sign to add a new project participant who will receive the message, or

    • Click the X by a recipient's name to remove them from the message

  6. If you'd like to adjust who can actually view and perform actions on the file, select Who can access this file?

    1. Toggle file access ON or OFF for the existing project participants

    2. Click Done to save your changes

  7. Compose the email that this file will get shared with

  8. Select Send

Share a file through a direct link

If you need to share your smart file via text message, social media DM, or any other avenue, you can create a direct link instead of sending an email.

Choose this option if you want to make a smart file accessible to all participants in the project without notifying them/sending an email.

  1. Follow either of the sets of steps above, but STOP when you see the email composer

  2. If you'd like to adjust who can actually view and perform actions on the file, select Who can access this file?

    1. Toggle file access ON or OFF for the existing project participants

    2. Click Done to save your changes

  3. Now, instead of sending an email, select the Create a Link button > click Create a Link to confirm

A direct link will be created based on your customized client portal URL. The file's status will get changed to Sent, but no email will send.

You can copy and share the link with project participants as you wish. Note that only the project participants you have granted file access to (this is all project participants by default) will be able to access and interact with the file.
