Learn how to add attachments and smart fields to emails in HoneyBook to share files and personalize client communication

Before you start

  • You can attach PDFs, JPGs, PNGs, and DOCs (maximum size: 8 MB)

  • Attachments work in projects, templates, automations, bulk emails, and the mobile app

  • Smart fields let you auto-populate client, project, or business details into your emails

  • Always check that smart fields are filled before you send to avoid empty placeholders


Attach files to emails in HoneyBook

You can send attachments in HoneyBook from:

Look for the paper clip icon near the Send button to add files. Select the X by an attachment to remove it.

You can also send an attachment in an email as part of an automation (for example, if you want to send your client an email with a file attached after they’ve submitted a lead form). Automations with attachments display a paper clip icon.

📚 Tip

If you save an email template with an attachment, that attachment is included every time the template is used. Templates and automations with attachments will show a paper clip icon next to their name.

Attach files in project emails

There are three ways to attach files directly to an email from within a project’s activity feed:

  • Attach from the HoneyBook Library

    • Choose an image or file to attach from your library

  • Create and attach a new Smart File

    • After clicking the paper clip icon, click Create new file

    • The Smart File builder will open, allowing you to create a brand new file to attach to your email

    • Note: Creating a new Smart File from within the email builder is only available on desktop.

  • Attach an existing Smart File

    • Choose an existing Smart File to attach


Add smart fields to emails in HoneyBook

Smart fields automatically insert details from your business, client, or project into your emails. They work in:

Add a smart field

  1. Start writing or editing your email

  2. Select the {x} (Insert smart field) icon or enter { to open the smart field menu

  3. Choose the field you want to insert

  4. Preview your email to confirm any fields are filled correctly

  5. Select Send, or if you want to schedule the email for later, the dropdown to Schedule send

Examples of smart fields

  • Project date: Automatically adds your project’s date to scheduling or confirmation emails

  • Client first name: Personalizes greetings with the first client added to the project

  • Company phone number: Ensures your business contact information is consistent

  • Project type: Adds details like “Wedding,” “Branding Session,” or “Consultation” in booking confirmations
