In order to help you keep everything in one place, HoneyBook allows you to email your clients directly through a HoneyBook Project (instead of needing to bounce between us and your email) — and you can do so through the iOS and Android app as well! You can even attach images, PDFs, or supported HoneyBook files to your messages.

Learn more about sending emails or attaching PDFs and other files via desktop!

PLEASE NOTE: Emails you send through a Project will go to all participants associated with that particular Workspace.

In this article, we'll review:

iOS & Android: Sending an email

1.  Find or create the Project that requires an email or file to be sent, as both emails and files need to be associated with existing Projects.

  • Find a Project: search via the search icon at the top of your app's Home screen (Pipeline view), or locate the Project from the Project List in your Pipeline.
  • Create a Project: learn how here!

2.  Once in the Project, you can send an email in a few different ways. You can:

  • Tap the Send Email button at the bottom of the screen to create a new email
  • From the Activity tab, tap Reply on any email, which will keep the same subject line and create an email thread

PLEASE NOTE: For email threading functionality, make sure you have your Gmail integration set up!

3.  If starting a new email, enter your email subject line.

PLEASE NOTE: If you've chosen to reply to an existing email, changing the subject line will discontinue the existing email thread, as threaded emails need to have the same subject line. Changing the subject line at this stage will, in effect, create a new email instead.

4.  Enter the body of your email. You can:

  • Create a new message by tapping the empty email body field to display your keyboard and formatting bar, then entering your email text.
  • Select the Templates menu at the top of the screen to choose from your existing email Templates.

PLEASE NOTE: If you've chosen to reply to an existing email, selecting an email Template will overwrite the original subject line, which will discontinue the existing email thread.

6.  When you’re ready, tap Send.

Wondering whether someone has opened your email? Here's how you can check!

iOS & Android: Sending a file

1.  Find or create the Project that requires a file to be sent, as files need to be associated with existing Projects.

  • Find a Project: search via the search icon at the top of your app's Home screen (Pipeline view), or locate the Project from the Project List in your Pipeline.
  • Create a Project: learn how here!

HoneyBook Tip: You can also quickly create an Invoice, Contract, or Proposal from the plus (+) icon in your Pipeline view! You'll be able to select an existing Project to connect the file to, or create a new Project.

2.  Once in the Project, tap the New File button at the bottom of the screen.

3.  Select the type of file you'd like to attach — Proposal, Invoice, Contract, Brochure, or Questionnaire.

  • You can also choose to send a non-HoneyBook file or image from here by tapping the File or Photos option.

PLEASE NOTE: At the moment, Timeline files can only be sent via desktop.

4.  Create or edit the file as necessary! Here's how to manage each file type on mobile:

5.  Tap Attach when your file is ready.

6.  Review, create, or select the email that will send with your file. You can:

  • Keep the default email text you see, or make a few changes. We'll automatically populate the email Template that's associated with the file type you're sending! And remember, you can always edit the email Templates themselves, so the Template that auto-populates moving forward will always look the way you want it.
  • Create a new message by tapping the subject line/email body field and deleting the auto-populated text. Then, just enter your own subject line and email text
  • Select the Templates menu at the top of the screen to choose from your existing email Templates. This will replace the existing subject line and email text with those of the new Template.
  • Add additional attachments (non-HoneyBook files) to the email by tapping the paper clip icon in the toolbar and selecting your attachment(s) of choice.

7.  When you’re ready with your file, tap Send.
