How clients access and submit smart files

Learn what happens when a client receives and submits smart files, and how they'll use verification codes

Clients can access smart files you share with them in two different ways:

  • through an email

  • through a direct link (you can share this link through a text message, social media DM, etc.)

When sharing a file with a client, you can choose to turn on verification code access, which can prevent security incidents and ensure that the right person is accessing it.

You can also turn on view-only access to a file to prevent a client or someone else from actioning on it.

How clients access smart files

Depending on how you share a smart file, your client will either receive an email or a direct link.

  • If you've turned OFF verification code access, the client will be able to read and action on the file without verifying their identity.

  • If you've turned ON verification code access, the client will need to enter a numeric code they receive (via email) to perform an action on the file, like signing a contract or making a payment.

  • If you've turned on view-only access, the client will only be able to read the file.

💡 Tip

Verification code access for sensitive smart files (like invoices, proposals, and contracts) ensure the security of your clients' personal details by making sure the correct people have access.

Accessing a smart file with verification code access on

If you send a sensitive smart file via email or direct link, your client can view your contract, invoice, or proposal without a verification code. However, to take any sensitive action—like signing or paying—they’ll need to:

  1. Enter their email address

  2. Receive a numeric verification code via email

  3. Enter the code to proceed

Once they click Send My Code, they'll be able to access the code from their email and input it on the security screen to access the smart file.

What happens when a client submits a file

Once your client submits the smart file, they'll be directed to a completion message. If you like, you can redirect them to a URL of your choice (like your website).

To redirect to a URL of your choice:

  1. From the file, click the gear icon

  2. Navigate to Redirect URL

  3. Toggle Set the button on the last page of this file to redirect to my URL to ON

  4. Enter your URL

📣 Note

Once a client submits their file, they’ll be able to open it again to review, but will not be able to edit any of their actions or responses unless you edit and resend the smart file to them.
