Expire or reactivate a smart file with the app

Expire or unexpire a smart file from your mobile device.

Updated over a week ago

When sending and managing smart files on the go, you can set an expiration time for files to ensure timely attention from clients. If a file's status changes, you have the option to instantly expire or reactivate it. Expired files can still be viewed by clients, but they won't be able to perform any actions like answering questions, signing contracts, or making payments.

Set a smart file's expiration date in advance

  1. In the app, begin working on a smart file

  2. At the bottom of your screen, select the triple dot icon

  3. Select Configure file

  4. Select File expiration

  5. Toggle on Automatically expire file

  6. Set when the file should expire

  7. Edit the expiration message

  8. Select whether you want the expiration date to appear on the smart file

  9. Select Save & exit

Manually expire a smart file

You can also manually expire a smart file. Completed smart files cannot be expired.

  1. In the app, select Projects from the bottom menu

  2. Select the project that holds the file you want to expire

  3. Select the file you want to expire

  4. Select Edit file

  5. At the bottom of your screen, select the triple-dot icon

  6. Select Configure file

  7. Select File expiration

  8. Select Expire now

Reactivate a smart file

To reactivate a smart file, clients will regain full access and be able to finish any pending actions. Additionally, automatic payments and payment reminders will be resumed.

If your smart file has payments, especially if they are set to autopay, we recommend making sure you review the payment schedule before reactivating. Invoices with automatic payments will immediately process any overdue autopay payments after reactivation. If you don't want those payments to be processed immediately, remember to adjust the payment schedule before reactivating.

  1. In the app, select Projects from the bottom menu

  2. Select the project that holds the expired file you want to reactivate

  3. Select the expired smart file

  4. Select Edit file

  5. At the bottom of your screen, select the triple-dot icon

  6. Select Configure file

  7. Select File expiration

  8. Select Reactivate file
