Automations are meant streamline your processes and save you time, so it can be frustrating when they don't work as expected. Check out each section below to see if your problem can get quickly fixed.
đŁ Note
This article references automations, available for Essentials and Premium plan members. Learn more about the features included in each plan.
Automation includes one or more steps that require approval
If some steps require approval, be sure to approve the task so that the next step will trigger.
Automation includes one or more steps that are triggered by project date
If your automation has steps that are triggered by the project date, your project must have a project date set. If the project date is TBD, the automation won't have a project date to reference for its trigger.
Automation includes a task that needs to be checked off
If your automation creates tasks as part of it's flow, you'll need to check off and complete the task so the automation can move on to the next step in its flow.
Automation is incorrectly linked to contact form/project type
Once you create an automation, you can set it to automatically assign to inquiries that come in through your contact form. If your automation is not applying to new project in HoneyBook like you intended, there are a few places to check:
1: Make sure that the automation is linked to contact form inquiries
First, check the automation settings by going to your Automations Dashboard and finding the relevant automation.
In the Automate via Contact Form drop-down, ensure you select the appropriate project type(s) to activate the automation. You can select one or multiple project types, or set the automation as the default for all contact form inquiries.
Assigning specific project types to an Automation will override the Default for contact form option for those types. For instance, if your Standard Onboarding Automation is set as the default and your Event Onboarding Automation triggers for âBirthdayâ and âCorporate Eventâ project types, contact forms marked as Birthday or Corporate Event will use the Event Onboarding Automation. All other project types will default to the Standard Onboarding Automation.
2: Make sure that your contact forms are linked to project type
If you choose to apply automations based on specific project types and this is not correctly included in your contact form, the link between automation and inquiry will be broken.
You can make sure that project types are included in a contact form in one of two ways:
Include the suggested project type question in your contact form for your clients to answer on their end. We recommend marking that question as required so clients donât miss it.
Assign a default project type to an entire contact form, so that any inquiry coming in through that form will automatically be assigned that particular project type. If you use multiple contact forms in different places, you can assign different project types to the forms as necessary!
To check if the suggested project type question is added to your contact form, open your contact form template.
You can see which question is associated with project type (if any) by hovering over the linked icon.
If youâre using a custom project type question, your inquiries will not be assigned a project type. In this case, use the suggested project type question.
If you make changes to your contact form, remember to hit Publish.
