Navigate a project

All about what's included in a HoneyBook project

Updated yesterday

In HoneyBook, a project represents a specific "job" with a client or clients. You might create a project for "Betsy's Wedding" or "Website Overhaul." Projects are the folders that house all of the communication, files, and details related to a specific job.

Below, we'll cover what's included in a project, how to navigate one, and how to take actions like updating information and creating files.

Project header

A project's header includes:

  • Project header image

    • The project header image will default to what you've set as the default header image under your Company brand settings

    • To update a project's header image, click click the image icon on the header > make your changes > click Save

  • Project name

    • To update this, click into the project name field > make your changes

  • The first client participant's name

  • Project type

    • To update this, click the drop-down by the project type > select the new type

  • Project date

    • To update this, navigate to the project's Details tab

The project header is client-facing, so make sure it's client-appropriate.

Actions

Underneath the project's header, you can view all of the participants added to the project. You can also take the following actions:

  • Add participants: Click the plus (+) sign

  • Schedule a meeting: Click Schedule > select the session type > follow the prompts to schedule the meeting with the project participants

  • Attach a file or add a bookmark (PDF, jpeg, etc.): Click Attach > select if you'd like to upload from your device, select a file from your HoneyBook Library, or create a bookmark

  • Take AI actions: Click AI actions > select the action you'd like to take

    • HoneyBook AI's chat will open with the corresponding answer

Activity tab

A project's Activity tab tracks all email communication sent through, and important actions taken place in, the project. The activity tab will track when:

  • Any email communication was sent through the project

  • You or a team member created a draft file

  • A file was sent to a client

  • A client viewed a file for the first time

  • A client made a payment

  • A contract was signed

  • A smart file was completed

  • You received a message

  • A session was scheduled

From the activity tab, you can open the email composer to send messages to the participants. Learn how to send a message through a project here.

Files tab

A project's Files tab houses all of the files sent through the project, as well as files (like PDFs and jpegs) uploaded and bookmarks added.

Tasks tab

From a project's Tasks tab, you can view and manage all of the existing project tasks, as well as create new ones. Learn how to use a project's Tasks tab here.

Payments tab

A project's Payments tab includes all upcoming, overdue, and paid payments in the project. From here, you can also issue refunds and click to open the invoices for more details.

Notes tab

A project's Notes tab includes all notes created for the project. From here, you can also add and manage notes. Learn how to take and manage project notes here.

Details tab

A project's Details tab houses key information related to the project. To update any of a project’s key details (for example: project date), select the field you want to update and make your changes, which save automatically as you go. The project date that you set under a project's Details tab is what will put the project on your HoneyBook Calendar, so make sure you're updating this field.

📚 Tip

Remember that you can add custom project fields and adjust what fields clients can see. Learn how here.

"Only visible to you" section

The "Only visible to you" sidebar of a project is visible only to you and your internal team members who have access to the project. It is not visible to your clients.

From here, you can take actions such as:

  • Reschedule, add a related workspace, refer the project to another vendor, assign the project to a team member, or delete the project: Click the three dot icon by "Only visible to you" > select the action you'd like to take

  • Copy and share the client portal link

  • Adjust information like project stage, lead source, and project tags

  • Add team members to, or remove them from, the project

  • View and manage related workspaces
