Get your business set up in HoneyBook and create a repeatable flow of work with process mapping. Visually mapping out the way you work with clients helps you optimize your process and provide a better client experience. It can also help you save time (and potentially increase your earnings) by utilizing more HoneyBook features to generate business, automate communication, and put certain admin tasks on autopilot!

Once you answer some questions about the service you want to map, HoneyBook will give you a visual map of your process and link to features or templates you can use to optimize your existing process on HoneyBook—helping you save time and provide a remarkable client experience.


Take the process mapping quiz

You’ll begin by telling HoneyBook about the service you want to map. This quiz will ask you about every step of your flow of work for that process, from capturing new business all the way to maintaining the relationship with your client after you send the final deliverable.

1. From the top navigation menu, select Templates → select My process.

2. Select Start Mapping.

a. If you’ve already completed a process map, select Start New Map to map another service.

3. Select Start.

4. Name the service you’ll map → select Next.

5. Finish the mapping quiz.

Take your time to think about what that process looks like so your map can be as accurate as possible, and retake the quiz until you feel happy with your process map. Remember, the answers you give here will be used to tell you what to do next, so it’s okay to take a little more time to decide how you want to answer.


Start building your process

Once your process map is generated, review it before starting to do anything. If you notice something is incorrect, take the quiz again so you can get the most accurate results. Once you have a process map you’re happy with, start setting up the different features. If any maps didn’t turn out correct, delete them by selecting the triple-dot icon next to their name, then selecting Delete.

Process maps can also be downloaded by selecting the map, then selecting the Download icon in the top-right corner of your screen.

This is an example of what your map could look like:

Each of the blocks in your process map will take you to that feature if you select them. Work your way through the map column by column starting with Capture new business. The sections below will have additional info on each of the blocks you might have in your own process map, and you can always reach out to HoneyBook’s Concierge team by selecting the Question Mark icon on any HoneyBook page.

📣 Note

Your process map may not look exactly like the example above, and you may not need every helpful link below to set up your service process in HoneyBook. Use the map in your account as your source of truth to work off of, and return here if you have any questions about the specific feature you’re setting up.

Capture new business

Goals for this stage

This step is all about generating interest for your services, encouraging those potential clients (leads) to contact you (capturing their contact information) and responding to them. Your focus should be to:

  • Get in front of your target audience

  • Communicate your services & their value

  • Generate interest and driving potential clients (leads) to contact you

  • Respond to your leads

Qualify leads

Goals for this stage

This step is for evaluating whether this is a good fit and helping the lead select the right services for them. Your focus should be to:

  • Understand whether this potential client is a good fit for you

  • Further communicate your value to the lead

  • Help them select the right services that fit their budget and will solve their problems

Book clients

Goals for this stage

This step is all about making it official with the lead and converting them into a paid client by finalizing the agreement and potentially an invoice. Your focus should be to:

  • Get the lead to sign a contract/agreement (if using)

  • Send an invoice for the first payment (if that’s your payment schedule)

Manage projects

Goals for this stage

This is your domain, where you are an expert at how you deliver the services you offer. The phase ends with you heading those over and offboarding your client. Your focus should be to:

  • Manage the project and deliver the services

  • Maintain a great client experience with clear communication

  • Complete the project and get paid

Maintain relationships

Goals for this stage

This step focuses on maintaining a strong relationship with your client now that the project is finished, hopefully leading to more business and future projects.

  • Turn this project into more business down the line

  • Maintain a warm relationship with this past client

  • Stay top of mind for the client—for future opportunities

FAQs

What if I have multiple services I want to map?

You’ll want to take the process mapping quiz for each service that has a unique process. Even small differences, like whether a deposit is required or two meetings are needed instead of three, can change what you need from HoneyBook and what steps you should take to keep your flow of work running smoothly.

Note

A best practice is to create a process map for each service that has it’s own process, and building them out in HoneyBook one at a time. An easy way to get stuck is to try to build out multiple processes at the same time, so take these one process at a time and one step at a time. Your business, clients, and future you will all benefit from getting these set up!
