How to manually adjust the status of a completed smart file

For extra control over your files, you can now manually mark smart files (in which the client has taken all required actions) as completed.


How to mark a file as completed

1. First, locate the smart file that you’d like to mark as completed.

  • You can search using the search bar to the top left of your screen, or locate the project that contains the smart file from your pipeline.

2. Once you’ve located the file in question, there are two ways to mark it as completed:

  • Click on the file to open, which will open the file summary. From the file summary, select the three-dot icon > Mark as completed

  • OR, From the corresponding project’s activity or files tab, click the three-dot icon by the file in question > Mark as completed

A file can be manually marked as completed only if a client has taken all required actions in it.


FAQ

Why would I want to manually mark a smart file as completed?

Sometimes, clients technically “complete” a smart file (finish all required actions), but don’t take the necessary steps for the system to mark the file as completed (e.g., didn't navigate to the final page or submit the file). This functionality takes care of that problem and gives the control back to you, so you can make sure your file statuses reflect the client actions.

Additionally, automations can be set to trigger steps once a file is completed. Now, you can move your projects through their automations with just the click of a button (and without having to reach out to your client!).

Why can't I mark my file as completed?

In order to mark a file as completed, all required actions must have been taken by the client (i.e., required questions answered, contract signed, payments made).
