Auto-populate info about your projects and clients in your emails (which is especially helpful for making email templates).

Use smart fields to automatically add key information to the body of your emails. Email smart fields can help you auto-populate important details for your business, your client, and your project, guaranteeing that your emails always have accurate information.

Smart fields are especially powerful in email templates. The field's info will automatically populate when you select the template in a project, saving you the work of hunting information down and typing it in for each message.

  1. Start working on an email:

  2. Select Insert smart field or use the " { " key > select the smart field you want to use

    1. Start typing to narrow down the list you'll see

    2. If the field's dynamic info exists, it'll auto-populate in the email and the field will turn gray

    3. If the field's dynamic info doesn't exist, the field's placeholder label will stay and the field will stay blue

    4. Note that smart fields can be used only in the body of an email; they cannot be added to the subject line

  3. Wrap up your email > select Send (or the drop-down if you want to schedule it for later)

Always check that the smart fields are populated before sending the email. If any fields haven't populated with info, delete them and manually add text. You'll always be warned if unfilled smart fields exist in your email. If you do send an email with an unpopulated smart field, the field will not appear in the email.


Smart field examples

  • Project date: Use this smart field in your data availability confirmation emails so you share the right dates

  • First client first name: Add this smart field in the greeting of all your emails to add a personalized touch

    • The first client participant added to the project's first name will show as the field value

  • Company phone number: Use this smart field to add your phone number to email messages

  • Project type: This smart field can be used in your booking confirmations
