How to schedule an email

How to create an email and/or smart file now, but schedule to send at a later date and time

To send emails and files at a specific time, create them now and schedule them to be sent later. This way, you can work on your tasks and ensure timely sharing of information during your projects. Emails can be scheduled up to 18 months in advance.

Emails are sent through the project workspace, so you'll need either an existing project that has the email participant in it, or you can create a new one.


Schedule a standalone email

  1. Use the search bar or go to the Projects tab to identify a project

  2. Select the Activity tab

  3. Write your email in the email composer using any combination of these actions:

    1. Create a new email thread by selecting Start a New Message

    2. Reply to the latest email you go by selecting Reply to Last Message

    3. Use an email template from your templates menu

  4. When you're ready, select the drop-down next to Send > select Schedule send

  5. Select the date this email should be sent > select the send time

  6. Select Send Later


Cancel a scheduled email

The email you create will appear in the project's activity feed with a scheduled sending time. Unless you cancel before the set time, the email will be automatically sent to all project members at the chosen date and time.

  1. Find and open the project that has the scheduled email. You can use the search bar or go to the Projects tab

  2. Select the Activity tab

  3. Find the scheduled email in your activity feed > select the trash can icon

  4. Select Confirm

  5. The email will disappear from the project's activity feed and will not be sent to the project participants
