Before you start
You can schedule standalone emails or smart files up to 18 months in advance
You can add meeting slots to emails from projects or contact workspaces, on the HoneyBook desktop site or in the mobile app
Meeting slots can’t be added to email templates
Clients control their own reminder time zone settings when they book
Schedule an email or smart file
Schedule a standalone email
Go to the project or contact workspace to compose your email
Select the dropdown next to Send > Schedule send
Choose the date and time, up to 18 months ahead
Select Send later
The scheduled email will appear in the project or contact’s activity feed with its scheduled date and time
Schedule a smart file
Open your smart file
Select Share, then compose your email
Select the dropdown next to Send > Schedule send
Choose the date and time, up to 18 months ahead
Select Send later
A banner in the activity feed or file summary will show with its scheduled date and time
Cancel a scheduled email or smart file
Cancel a scheduled standalone email
Go to the project or contact workspace
In the activity feed, find the scheduled email, then either:
Select the trash can icon > Yes, delete
Select the three-dot icon > Delete > Yes, delete
Once canceled, the scheduled email will be removed from the activity feed and won’t be sent
Cancel a scheduled smart file
Go to the project or contact workspace
In the activity feed, find the scheduled email with the smart file, then either:
Select the trash can icon > Yes, delete
Select the three-dot icon > Delete > Yes, delete
Alternatively, find the smart file to open its file summary, then select Cancel scheduled send
Once canceled, the scheduled email with the smart file will be removed from the activity feed and won’t be sent
Add meeting slots to emails
When emailing clients, you can embed your HoneyBook meeting availability so they can book time with you directly:
Go to the project or contact workspace to compose your email
Select the calendar icon
Choose what session type to include
Available time slots for the next 3 months will appear in the email body
If no slots are available, none will display
Optional: Select View all availability to change the link text, for example, “See more options,” then select Save
Optional: Select Change above the time slots to edit the hyperlink text, then select Save
This doesn’t change your scheduling settings
On the client side, clicking the link takes them to the session page, where they can adjust their time zone for reminders. Members can’t edit this from their side.
Continue writing your email, then select Send or the dropdown to Schedule send
When a client selects a time slot, they’ll be directed to the HoneyBook scheduler to confirm their choice.
