Pull project info into your contracts with smart fields

Get to know smart fields and how they can help you rapidly create contract smart files.

Updated over a week ago

Rather than manually typing in project- or client-specific details over and over (which can lead to information falling through the cracks), use smart fields in your contracts. Smart fields can be used to automatically pull in project details, or request or enter information, in your contracts. You can set smart fields up to:

  • Automatically pull:

    • Info from project details fields, such as relevant dates, locations, client contact info, and more

    • Answers from questions you ask in your file at some point before the contract

    • Session-related details, such as the meeting date, time, location, and name

  • Request (or require) clients to fill out fields before they’re able to sign

  • Remind you to fill out certain client or project information before sending

Add a smart field to a contract

  1. While building a smart file with a contract, select where you want the smart field to go

    1. This will usually be in a text field

  2. In the settings sidebar, insert a smart field

  3. Select the field content type (what info will fill the smart field) or create a custom type

    1. This usually will use project details (like client names or budgets) or info the client must supply

  4. Set the client permissions for the smart field

    1. Client can edit: The client can edit the field, but isn't required to

    2. Client must fill: The client must fill in the field before signing the contract

    3. Client can't edit: The client can't change the field (use this for to pull in info you've supplied)

From here, how the field content will get filled out depends on what you're using the smart field for:

  • For dynamic project information, leave the field blank

  • For dynamic answers from questions, leave the field blank

  • If the field is for client input, leave it blank for the client to fill

  • If it is a reminder for yourself, leave it blank as a template or fill it with appropriate information if sending to a client
