Whether you’re booking your first client or joining HoneyBook hundreds of clients deep, we aim to make it easy to get those connections imported and recorded in HoneyBook. Once your contacts have been added, you can access your full list under the Contacts page.

For teams with multiple members:
Moderators, admins, super admins, and account owners can see all team contacts
Basic team members can only see contacts they’ve added or share a project with
Private contact notes are private and visible only to the team member who wrote them

Before you add a contact, think about whether you also want to create a project. In HoneyBook, projects are the foundation of your workflows—they house everything from client communication to files, payments, tasks, and scheduling.
For example, for a client named Betsy, you might create a project called “Betsy’s Wedding.” Each project becomes a workspace where you can collaborate, send documents, and track progress in one place.
From the navigation menu, select Contacts
Select Add contact > Contact
Enter the client’s name and email (required), plus any optional details
To add the client to a project, select Add to project

If you added the client to a project: You’ll be taken directly to the project workspace, where you can update project details, send emails or smart files, track time and tasks, and manage payments and communication
If you didn’t add the client to a project: You’ll land in the contact workspace, where you can manage contact details, add the client to a project later, or send files directly from their profile
Notification behavior
How you add a contact determines whether they receive a notification:
Adding a contact to a project with no activity: The contact won’t receive a notification
Adding a contact to a project with existing activity (such as an email or smart file): The contact will receive a notification
Adding a contact from the Contacts page (accessed through the navigation menu): The contact won’t receive a notification
📚 Tip
Notifications only send when a contact is added to an active project. You can safely build your contact list or draft projects without alerting clients before you’re ready to reach out.
Add an individual client
From the navigation menu, select Clients
Select Create client
Enter the client name or title and select the service type and client stage (required), plus any optional details
Select Create client
Import a list of contacts in HoneyBook
Import a spreadsheet file without creating projects
If you have a list of contacts outside of HoneyBook, you can add them to your HoneyBook contacts list all at once using a spreadsheet file upload.
From the navigation menu, select Contacts
Select Add contact > Import spreadsheet
Drag and drop your file, or select Browse files to upload
Select Manage fields to match the file columns to their related HoneyBook fields
Unmatched fields won't be imported
If your file doesn’t have column headers, uncheck the box next to My file has headers and use the dropdown menus to label what each column holds
Select Import

For file requirements:
The file must be in CSV or XLSX format
Up to 500 contacts can be added at a time
Maximum file size is 2 MB
At minimum, the contacts' emails must be included
Import Google Contacts without creating projects
From the navigation menu, select Contacts
Select Add Contact > Import Google contacts
If you haven't connected your Gmail account to HoneyBook yet, select Connect Gmail account and follow the prompts
Once you've connected your Gmail account, you'll see a list of all your Google contacts. Select the ones you'd like to import.
Select Import
The selected contacts will be added to your Contacts list in HoneyBook
