Add and import contacts in HoneyBook

Learn how to add individual contacts or import a list of contacts, leads, and existing clients into HoneyBook from Google Contacts or a spreadsheet

Whether you're booking your first client or joining HoneyBook with hundreds of existing contacts, you can add them one at a time or import them in bulk. Once added, your full contact list is available under the Contacts page.

📣 Note

For teams with multiple members:

  • Moderators, admins, super admins, and account owners can see all team contacts

  • Basic team members can only see contacts they've added or share a project with

  • Private notes are visible only to the team member who wrote them


Add an individual contact

Before you add a contact, consider whether you also want to create a project. Projects are the foundation of your HoneyBook workflows — they house client communication, files, payments, tasks, and scheduling all in one place.

  1. From the navigation menu, select Contacts

  2. Select Create new

    • Alternatively, select the dropdown by Create new > New contact

  3. Enter the contact's name and email address (required), plus any optional details

    • To add the contact to a project, select the dropdown under “Select or create a project” to search for or create a project

  4. Select Add contact

What happens next

  • If you added the contact to a project: You'll go directly to the project workspace, where you can send emails or smart files, track tasks, and manage payments

  • If you didn't add the contact to a project: You'll land in the contact workspace, where you can manage contact details, add them to a project later, or send files from their profile

Notification behavior

How you add a contact determines whether they receive a notification:

  • Adding a contact to a project with no activity: No notification sent

  • Adding a contact to a project with existing activity (such as an email or smart file): The contact will receive a notification

  • Adding a contact from the Contacts page: No notification sent

📚 Tip

Notifications only send when a contact is added to an active project. You can safely build your contact list or draft projects without alerting clients before you're ready to reach out.


Import a list of contacts

Import Google Contacts (without creating projects)

  1. From the navigation menu, select Contacts

  2. Select Import from Google

    • Alternatively, select the dropdown by Create new > Import from Google

  3. If you haven't connected your Gmail account yet, follow the prompts

Import a spreadsheet of contacts (without creating projects)

If you have a list of contacts outside of HoneyBook, you can add them to your contacts list all at once using a spreadsheet file.

  1. From the navigation menu, select Contacts

  2. Select the dropdown by Create new > Import spreadsheet

  3. Drag and drop your file, or select Browse files to upload

  4. Select Manage fields to match your file columns to their related HoneyBook fields

    • Unmatched fields won't be imported

    • If your file doesn't have column headers, uncheck My file has headers and use the dropdowns to label each column

  5. Select Import

File requirements

  • Format: CSV or XLSX

  • Maximum 500 contacts per import

  • Maximum file size: 2 MB

  • Email is required for each contact

Import leads and clients and create projects
