How to tag your projects and contacts

How to create, manage, and apply tags

You can use tags to filter through and group projects and contacts. We'll cover how to create and use tags below.

Manage your tags

  1. From any page, select your profile photo in the top right corner of your screen > select Company Settings

  2. Select the Preferences tab

  3. By Tags, select Edit

  4. Edit your tags

  5. From here:

    1. Create a new tag: Select the plus (+) sign > enter the tag name > select a color > select Create

    2. Edit an existing tag: Hover over the tag in question > select the pencil icon > enter a new name and select a new color > select Save

    3. To delete a tag:

      1. Hover over the tag in question > select the trash can icon > select Yes, Delete to confirm

πŸ“š Tip

Consider creating tags for project statuses (e.g. "Urgent," "On hold"), project locations (e.g. "Virtual," "Live"), contact types (e.g. "Frugal," "Big spender"), or whatever else you want to tag.


Tag management for projects

Add a tag to a project

  1. Find and open the project you'll add a tag to by using the search bar or using the project pipeline

  2. In the right menu, select the Tags dropdown > select the tags you want to add

Remove a tag from a project

  1. Find and open the project you'll remove a tag from by using the search bar or using the project pipeline

  2. In the right menu, select the Tags dropdown > select the "X" on the tags you want to remove

Bulk add or remove tags from projects

  1. From the top navigation menu, select the Projects tab

  2. Hover over each project that'll be bulk edited > select the checkbox next to their names

    1. You can use the pipeline stages to filter for projects

  3. Above the projects table, select the tag icon > select either:

    1. Choose which tags to add... if adding tags

    2. Choose which tags to remove... if removing tags

  4. Select the tags drop-down > select which tags you'll add to or remove from the selected projects

  5. Select Add (if adding tags) or Remove (if removing tags)

Filter projects by tags

This is a great tool to use if you need to take a bulk action (e.g. send a bulk email) with all projects that have a specific tag. You can filter by tag first, then take that action.

  1. From the top navigation menu, select the Projects tab

  2. Select a pipeline stage or Active if you want to view all active projects

  3. Select Filter by tag

  4. Select which tags you'll filter by

  5. As you select tags, your projects will get filtered

    1. Remove a tag filter by selecting the "X" next to it


Tag management for contacts

Add tags to a contact

  1. From the top navigation menu, select Clients > Contacts

  2. Select the contact you'll add a tag to

  3. Under the contact's name, select Add tags

  4. Select the Add tags... dropdown > select the tags you'll add to the contact

Remove tags from a contact

  1. From the top navigation menu, select Clients > Contacts

  2. Select the contact you'll remove a tag from

  3. Next to their tags, select the plus icon

  4. Next to the tags you'll remove, select "X"

Bulk add or remove tags from contacts

  1. From the top navigation menu, select Clients > Contacts

  2. Hover over each contact you'll bulk edit > select the checkbox next to their names

    1. You can use filters to refine your contacts list

  3. Select the tag icon > select either:

    1. Choose which tags to add... if adding tags or

    2. Choose which tags to remove... if removing tags

  4. Select the tags dropdown > select which tags you'll add to or remove from the selected contacts

  5. Select Add (if adding tags) or Remove (if removing tags)

Filter contacts by tags

This is a great tool to use if you need to view all contacts that have a specific tag applied.

  1. From the top navigation menu, select Clients > Contacts

  2. Select the Filters icon

  3. Under Filter by tags, select the dropdown > select which tags you'll filter by

  4. As you select tags, your contacts table will get filtered

  5. Remove a tag filter by selecting the Filters icon > select the "X" next to each tag
