How to find and generate email drafts to get back to clients in record time

HoneyBook AI can generates personalized email responses, which you can quickly edit and send to your clients.


Use cases

Leads

  • HoneyBook AI will automatically generate an email draft when:

    • A new lead comes in via HoneyBook contact form or lead form

  • To generate the draft, HoneyBook AI will use:

    • The content of the contact or lead form submission

    • Your company details

Existing projects

  • HoneyBook AI will automatically generate an email draft when:

    • At least 2 client emails have been sent in the project

  • To generate the draft, HoneyBook AI will use:

    • Historical communication details (if any)

    • Your company details

    • Project details

Custom prompts

  • Use custom prompts whenever you need extra help crafting a message

  • HoneyBook AI will use the custom prompt that you enter to generate an email draft


Adjust email draft settings

By default, email drafts are turned ON for your account. If you need to adjust the settings, here's how:

  1. Hover over your profile photo in the bottom left corner of your screen > select Company settings

  2. Select HoneyBook AI

  3. Toggle Email drafts ON or OFF

    1. If toggled ON, toggle whether you would like to automatically insert drafts into your email composer ON or OFF


How to find and send AI-generated email drafts

On desktop

  1. Find and open the inquiry or project that holds a new client response. You can:

    • Click the notification you receive that lets you know the email draft is ready

    • Use the search bar

    • Or, select Projects to review your full project pipeline

  2. In the project workspace, select Review draft

  3. The AI-generated email draft will appear. From here:

    • Select the Refresh icon to generate a new response

    • Select the Thumbs up or Thumbs down icon to rate the response

    • Update the draft to better fit the situation by selecting a follow-up prompt

  4. Select Review before sending

  5. Edit the email if needed

  6. Click Send

The email will appear in the project’s activity feed and the client's email inbox.

On mobile

  1. Find and open the project or inquiry that holds a new client response. You can:

    • Tap the notification you receive that lets you know the email draft is ready

    • Use the search icon

    • Tap the Projects tab to review your full project pipeline

  2. In the project workspace, swipe up to open the email draft

  3. From here:

    • Select the Refresh icon to generate a new response

    • Select the Thumbs up or Thumbs down icon to rate the response

    • Update the draft to better fit the situation by selecting a follow-up prompt

  4. Tap Review before sending

  5. Edit the email if needed

  6. Select Send

The email will appear in the project’s activity feed and the client's email inbox.


How to use custom prompts

On desktop

  1. Find and open the project you want to send a message in. You can:

    • Use the search bar

    • Or, select Projects to review your full project pipeline

  2. Next to the email composer, select the HoneyBook AI icon

  3. Enter your prompt > select Draft email with AI

    1. The AI-generated email draft will appear

  4. From here:

    • Select the Refresh icon to generate a new response

    • Select the Thumbs up or Thumbs down icon to rate the response

    • Update the draft to better fit the situation by selecting a follow-up prompt

    • Adjust your original prompt by selecting Instruct AI > updating your prompt

  5. Select Review before sending

  6. Edit the email if needed

  7. Select Send

The email will appear in the project’s activity feed and the client's email inbox.

On mobile

  1. Find and open the project you want to send a message in. You can:

    • Use the search icon

    • Tap the Projects tab to review your full project pipeline

  2. Tap Send email > HoneyBook AI icon

  3. Enter your prompts > tap Draft email with AI

    1. The AI-generated email draft will appear

  4. From here:

    • Tap the Refresh icon to generate a new response

    • Tap the Thumbs up or Thumbs down icon to rate the response

    • Update the draft to better fit the situation by selecting a follow-up prompt

    • Adjust your original prompt by tapping Instruct AI > updating your prompt

  5. Tap Review before sending

  6. Edit the email if needed

  7. Select Send

The email will appear in the project’s activity feed and the client's email inbox.
