Use the in-person notetaker for meeting notes

How to record and automatically generate notes for an in-person session

HoneyBook’s in-person AI meeting notetaker prompts you to enable recording for an in-person session, then generates notes shortly after the meeting wraps up. It lets you focus your time and energy on the meeting itself, without having to worry about taking notes or making a mental list of action items.

Getting meeting notes for an in-person meeting is a two-step process. You’ll need to:

  1. Have HoneyBook AI record the meeting via mobile app

  2. Hang tight while the assistant generates the meeting notes, then access them


Adjust the settings

In-person meeting summaries are turned OFF by default.

  1. Click your profile photo in the top right corner of your screen > Company settings

  2. Select the AI preferences tab

  3. Toggle In-person meeting summaries ON or OFF

📣 Note
The in-person AI meeting notetaker can only record from the mobile app at this time.


Record an in-person meeting

10 minutes before each eligible meeting, you’ll be notified that the in-person notetaker is available via mobile push notification. You can also use the notetaker to schedule a meeting on-demand, in case something pops up.

🚦Before you begin

Make sure you’re using the most recent version of the HoneyBook app.

  1. Open the HoneyBook mobile app

  2. Tap Tools

  3. Tap Record meeting

  4. Tap on the meeting you want to record.

    • If you don’t have an in-person meeting scheduled, you’ll be prompted to to create one and add it to an existing project. Once you’ve created a meeting, tap Schedule.

  5. Tap the microphone icon to begin recording

  6. While you’re recording, you can tap the pause icon to pause the recording, then tap the microphone icon to begin recording again

  7. When the meeting is over, tap Save & transcribe recording

    • Or, tap Discard > Yes, discard if you don’t want to the assistant to generate meeting notes

If you chose to save and transcribe the recording, hang tight while the assistant generates the meeting notes. This can take up to 5 minutes. You'll receive a notification when they're ready.

📣 Note

The recording limit for in-person meetings is 1.5 hours. To generate notes, there need to be at least two people in the meeting and at least 10 sentences spoken.


Access the meeting notes

Once you’ve recorded and saved an in-person meeting using the notetaker, HoneyBook AI will start generating meeting notes. This can take up to 5 minutes. There are a few different ways you’ll be alerted once the notes are ready.

Notification center

As soon as AI meeting notes are ready, the project owner and meeting owner (if they're different members) will receive a notification on desktop under the bell icon. Click on the notification to be brought straight to the notes.

Project

  1. Search for and open the project through which the meeting was held

  2. Under the Activity tab, select View meeting notes

Email inbox

Once AI meeting notes are ready, the project owner and meeting owner (if they're different members) will receive an email. Access the email and click View meeting notes to be brought straight to the notes.

HoneyBook Calendar

  1. From your HoneyBook home page, click the Tools menu > Calendar

  2. Click on the meeting in question > AI meeting notes

Mobile push notification

As soon as AI meeting notes are ready, you’ll receive a mobile push notification. Click on the notification to be brought straight to the notes in your HoneyBook mobile app.


FAQ

What meetings are eligible for the in-person meeting notetaker?

In order for a meeting to be eligible for the in-person meeting notetaker, it must meet all of the following criteria:

  • Meeting type: In-person

  • Connected to a HoneyBook project

  • Scheduled through HoneyBook

If you have a video meeting, consider using the HoneyBook notetaker for video calls.
