Whenever you’re adding a participant to a project, you’ll be prompted to select one of three participant roles (client, collaborator, or team member). Use these different roles to represent the participant’s relationship to you and set how they can access and interact with the project.
What all participants can do
Send emails through the project workspace
Upload files and images (PDFs, JPEG’s, etc.)
Interact with files (e.g., select services, review and sign contracts, make payments)
View all emails & files sent, and payments made, within the project
View all public project details (for example: project name, date, location)
What clients can do
Clients are the individuals receiving your services. Clients can do these things:
Send emails through the project workspace
Upload files and images
Interact with files (for example: select services, review and sign contracts, make payments)
View all emails & files sent, and payments made, within the project; as well as the public project details
Clients will access the project through the client portal or through a shared file. Learn more about what clients see when they're viewing a project.
What clients can't do
Create and send HoneyBook files through the project workspace
Add or view private project notes
Schedule meetings using the project workspace's Schedule button
Add new participants
Track time
What collaborators can do
Collaborators are people who are working on the project with you, but aren't considered part of your company's team on HoneyBook. Collaborators won't be charged for a HoneyBook membership unless they sign up. On top of what all participants can do in a project workspace, collaborators can do these things:
Create and send HoneyBook files through the project workspace
Add and view their own private project notes
Schedule their own session types using the project workspace's Schedule button
Add new participants
Track time
Change a project's pipeline stage
Changes a collaborator makes to the project's pipeline stage won't be reflected in the project owner's pipeline
Collaborators will access the project through their own HoneyBook login screen (not the client portal). They'll have their own company in HoneyBook, their own settings, and their own templates. They'll also have their own project pipeline, though projects they're a collaborator on will be set to "do not track."
What team members can do
Team members are part of your company's team on HoneyBook. Team members can do everything a collaborator can do in addition to anything their team member role allows them to do.
📣 Note
Team members can interact with files sent by collaborators, but cannot interact with files sent by other team members. The only exception to this is for files that have a signature line and the team member is signing a contract.
Team members can access the project through their own HoneyBook login (not the client portal). Multiple team members are only available for HoneyBook's Essentials and Premium plans. Learn more about the features included in each plan.
