Understanding which information is transferred from HoneyBook to QuickBooks when the integration is live

πŸ“š Tip: You need an Essentials or Premium HoneyBook plan and a Simple Start, Essentials, or Plus QuickBooks plan. HoneyBook is not compatible with QuickBooks self-employed.

Specific pieces of info are sent to QuickBooks whenever a client submits a payment to you. There's two kinds of info that are sent along: payment/invoice info and customer info.

Customer Information

The following information about your clients will sync to QuickBooks:

  • First name

  • Last name

  • Email address

  • Phone Number

  • Address

  • Display name

  • A combination of the customer's first name, last name, and email address

Customer info changes will not reflect in QuickBooks once HoneyBook has created that customer's profile in QuickBooks.

If any customer info is left blank in HoneyBook and that customer makes a payment to you, that missing info will also be absent in QuickBooks and cannot be filled in at a later time. Also, no customer info can be updated in QuickBooks by HoneyBook at any time after they've made their first payment to you.

Payment/Invoice Information

The following payment and invoice information will sync to QuickBooks upon the first received payment on the invoice:

  • Line items and their associated prices

  • Tax (see the section below if you use QuickBooks Canada)

  • Any discounts

  • Subtotals and totals

  • Transaction fees

  • Gratuity/tips

  • Refunds (see section below)

Adding or Removing Services

Any services added or removed after a payment has been received on the invoice will automatically and instantly be reflected in QuickBooks.

Refunds

When you issue a refund in HoneyBook, a corresponding refund receipt is automatically created in QuickBooks and matched to the original invoice and payment. Currently, all refunds are categorized under the Refunds Issued account, as configured in your QuickBooks dashboard.

HoneyBook is working to ensure refunds that include sales tax are properly accounted for in QuickBooks, including their correct removal from reports and the liability account. In the meantime, you can continue processing refunds with sales tax in HoneyBook. Just remember, you'll need to manually adjust the sales tax within QuickBooks for now.

Expiring Files

Expiring an invoice in HoneyBook will now be reflected in QuickBooks. If you are refunding a payment along with expiring an invoice, issue the refund first, then expire the invoice. Any expired invoices with sales tax will need to manually adjusted in QuickBooks after being expired in HoneyBook.

  • Any items with no tax on your HoneyBook invoice will automatically default to the zero-rated tax rate you set in HoneyBook when you synced with QuickBooks.

  • Any items with tax on your HoneyBook invoice will automatically default to your default tax rate set in HoneyBook when you synced with QuickBooks.

  • For any items with a different tax rate than your default tax rate (tax in a different province etc.), you will need to manually update that tax rate in QuickBooks.
