Manage your projects visually with Kanban

Manage HoneyBook projects with the Kanban board. Drag and drop project cards by stage, customize card details, and track your pipeline visually

Kanban is a visual, drag-and-drop board to manage your HoneyBook projects by stage—so you can see what’s moving forward, what’s stuck, and what needs attention at a glance.

In this article, you’ll learn how to open the Kanban board, move projects through your pipeline, customize what you see on each card, and understand what actions are supported.


What is Kanban?

Kanban is a board-view that displays your projects as cards, organized into columns that represent pipeline stages such as Proposal sent, Retainer paid, and Planning.

Each card reflects a project in your account. When you move a card to a new column, the project’s stage updates instantly—no extra steps required.

📣 Note

The Kanban board applies to projects only. Tasks aren’t included at this time.

Why use Kanban?

Kanban is designed to help you:

  • See your entire project pipeline at a glance

  • Track progress across stages without opening individual projects

  • Identify bottlenecks and stalled work quickly

  • Move projects forward using simple drag and drop

It’s especially helpful if you prefer a visual workflow or manage many active projects at once.


Open Kanban

  1. From the navigation menu, select Projects

  2. At the top of the page, select the Kanban board view icon Kanban board icon

    • You can switch back any time by selecting the Table view icon Table view icon

Understand columns and cards

Pipeline stages become columns

Each column represents one of your pipeline stages, such as:

  • Proposal sent

  • Meeting

  • Proposal signed

  • Retainer paid

  • Planning

  • Completed

  • Archived

The Kanban board doesn’t include an “All Projects” column—projects appear only in their current stage.

Projects appear as cards

Each project is shown as a card within its stage. Cards load automatically as you scroll, so you can work with large pipelines without long load times.


Move a project to a new stage

To update a project’s stage:

  1. Select and drag the project card

  2. Drop it into the destination column

When you drag a card:

  • The destination column highlights

  • The card drops at the top of the new stage

  • Sorting rules are applied automatically on the next load

Automations still apply

Any automation that would normally trigger when a project changes stages will also trigger when you move a card in the Kanban board.


Take action from a project card

Hover over a project card and select the More actions menu icon three-dot menu icon to access quick actions, including:

  • Send file

  • Add new task

  • Trigger automations

  • Assign to team member

These actions work the same way they do in other project views.

📣 Note

Bulk actions aren’t currently supported in the Kanban board view icon Kanban board. Switch to the Table view icon Table view to execute bulk actions.

Customize what you see on cards

You can control which project details appear on each card:

  1. In your Kanban board, select Customize > Card property visibility

  2. Select the fields you want to show—or unselect the ones you don’t

  3. This lets you tailor Kanban to focus on the information that matters most to your workflow.

Create, archive, or remove projects

  • Create a project: Select Create project—the Kanban board changes the view, not how projects are created

  • Archive or delete a project:

    • Open the project card menu, then choose the appropriate action

    • You can also archive a project by dragging the card to the “Archived” column

Use filters across views

If you apply filters or sorting in the Table view icon Table view, those same filters will still apply when you switch to the Kanban board view icon Kanban board, and vice versa. This makes it easy to narrow your pipeline before working visually.
