Draft emails with HoneyBook AI

Learn to use the Email drafts feature, which helps you quickly craft email responses to your contacts.

About HoneyBook Email drafts

HoneyBook AI can generate personalized email responses, which you can quickly edit and send to your contacts. It will automatically create an email draft for you in the following cases:

  • When a new lead comes in via a HoneyBook contact or lead form

  • When you share a smart file

  • When there is at least one client email in a project

To generate these drafts, HoneyBook AI will use your company, project, and communication details, as well as your tone of voice.

Note: You can always edit the AI email draft before sending it to your contact. You can either edit the email manually yourself, or use the quick AI edit buttons in the composer (such as “Make it shorter” or “Use my tone”.)

You can also use custom prompts whenever you need extra help crafting a message.


Adjust Email draft settings

By default, Email drafts are generated and automatically inserted into your email composer in the situations outlined above. HoneyBook inserts the best reply for that email, but you can easily choose from other options without prompting or waiting.

If you want to adjust these settings and avoid automatic AI email generation and insertion, here's how:

  1. Hover over your company logo in the bottom left corner of your screen > select Company settings

  2. Select HoneyBook AI

  3. Toggle Email Drafts ON or OFF

How to find and send Email drafts

Note: Email drafts do not currently support other email composers in HoneyBook, such as in bulk or batch emailing, in the client workspace, or in automations.

Desktop

You can find and send AI-generated email drafts on your desktop in one of two ways:

In the project workspace

  1. From the navigation menu, select Projects and click into the desired project

  2. Select the Activity tab

  3. Click Reply to the message you’d like to answer

  4. An email draft will appear

    • Use the toolbar to refine your draft (example: instruct it to change the tone of voice to make it more formal or casual) or hit the Refresh icon to generate an alternative email option

    • You can also select Edit with AI, which can draft a brand new email or improve the current one in whatever way you choose

  5. Click Send

The email will appear in the project’s activity feed and the client's email inbox.

When sharing a smart file

  1. From the navigation menu, select Projects and click into the desired project

  2. Click Create file

  3. Once you’re ready, select Share

  4. An email draft will appear

    • You can use the toolbar to refine your draft (example: instruct it to change the tone of voice to make it more formal or casual) or hit the Refresh icon to generate an alternative email option

    • You can also select Edit with AI, which can draft a brand new email or improve the current one in whatever way you choose

  5. Click Send

Mobile

  1. From the navigation menu, select Projects and click into the desired project

  2. Select Send email

  3. An email draft will appear

    • You can use the toolbar to refine your draft (example: instruct it to change the tone of voice to make it more formal or casual) or hit the Refresh icon to generate an alternative email option.

    • You can also select Edit with AI, which can draft a brand new email or improve the current one in whatever way you choose.

  4. Select Review before sending

  5. Click Send

Use custom prompts to craft an email

Anytime you want to send a message, you can prompt the email composer to help you out.

Note: There is a limit of 10 AI edits per email reply.

Desktop

  1. From the navigation menu, select Projects and click into the desired project

  2. Select the Activity tab

  3. If there’s a client you need to reply to, an email draft will appear

  4. Click Edit with AI

  5. Enter your prompt > select Draft email with AI

    • In your prompt, you can ask for specific changes to the AI draft, or give entirely new instructions on what kind of email you’d like to write. The draft will be based on your tone of voice and the language that the client wrote in with.

  6. Select Review before sending

  7. Click Send

The email will appear in the project’s activity feed and the client's email inbox.

Mobile

  1. From the navigation menu, select Projects and click into the desired project

  2. Select Send email

  3. An email draft will appear. Tap Edit with AI.

  4. Enter your prompt > select Write draft

    • In your prompt, you can ask for specific changes to the AI draft, or give entirely new instructions on what kind of email you’d like to write. The draft will be based on your tone of voice and the language that the client wrote in with.

  5. Select Review before sending

  6. Click Send

How do HoneyBook’s Email drafts know my tone of voice?

Email drafts help you quickly create and edit emails that sound more like you. To do this, HoneyBook AI learns from the way you’ve already been communicating—such as in your company details, projects, and past emails—to generate text in your tone of voice. For example, if you love using exclamation points in your communications with clients, chances are that HoneyBook AI will include exclamation points in your email drafts.
