Draft emails with HoneyBook AI

Learn to use the email drafts feature, which helps you quickly craft email responses to your contacts

HoneyBook AI can generate personalized email responses, which you can quickly edit and send to your contacts. It'll automatically create an email draft for you in the following cases:

  • When a new lead comes in through a HoneyBook contact form or lead form

  • When you share a smart file

  • When there's at least one client email in a project

To generate these drafts, HoneyBook AI will use your company, project, and communication details, as well as your tone of voice. You can also use custom prompts whenever you need extra help crafting a message.

Some of the capabilities you can use with AI email drafts include:

  • Instant tone adjustments: Easily change the tone of your draft with a single click. Whether you’d like it to sound more friendly, formal, or confident, you can quickly tailor the message to match your style.

  • Multiple draft options: Each AI-generated email includes several versions to choose from. This gives you more flexibility without needing to request additional edits.

  • Language-aware drafting: HoneyBook AI automatically creates drafts in your client’s preferred language. For example, if your communications with a client are in Spanish, the email drafts will also be generated in Spanish.

  • Improved personalization: HoneyBook AI better incorporates your project and client details, as well as your tone of voice, for emails that feel more personal and relevant.

📣 Note

You can always edit the HoneyBook AI email draft before sending it to your contact. You can either edit the email manually yourself, or use the quick edit buttons in the composer, such as “Make it shorter” or “Use my tone."


Adjust email draft settings

By default, email drafts are generated and automatically inserted into your email composer in the situations outlined above. HoneyBook inserts the best reply for that email, but you can easily choose from other options without prompting or waiting.

If you want to adjust these settings and avoid automatic AI email generation and insertion:

  1. From the navigation menu, select your company logo > Company settings

  2. Under "Email communication," turn Email drafts on or off


How to find and send email drafts

📣 Note

Email drafts don't currently support other email composers in HoneyBook, such as in bulk or batch emailing, the client workspace, or automations.

Desktop

You can find and send AI-generated email drafts on your desktop in one of 2 ways:

In the project workspace

  1. From the navigation menu, select Projects

  2. Find and select the desired project

  3. Under "Activity," select Reply to this message Reply to this message on the one you’d like to answer

  4. An email draft will appear

    • You can select Ask me to..., which can draft a email or improve the current one in whatever way you choose

    • You can also use the toolbar to refine your draft, for example, instruct it to change the tone of voice to make it more formal or casual

  5. Select Send

  6. The email will appear in the project’s activity feed and client's email inbox

When sharing a smart file

  1. From the navigation menu, select Projects

  2. Find and select the desired project

  3. Select Create file

  4. Once you’re ready, select Share

  5. An email draft will appear

    • You can select Ask me to..., which can draft a email or improve the current one in whatever way you choose

    • You can also use the toolbar to refine your draft, for example, instruct it to change the tone of voice to make it more formal or casual

  6. Select Send

Mobile

  1. From the navigation menu, select Projects

  2. Find and select the desired project

  3. Select Send email

  4. An email draft will appear

    • You can select Edit with AI, which can draft a email or improve the current one in whatever way you choose

    • You can also use the toolbar to refine your draft, for example, instruct it to change the tone of voice to make it more formal or casual

  5. Select Send


Use custom prompts to craft an email

Anytime you want to send a message, you can prompt the email composer to help you out.

📣 Note

There's a limit of 10 AI edits per email reply.

Desktop

  1. From the navigation menu, select Projects

  2. Find and select the desired project

  3. Under "Activity," if there’s a client you need to reply to, an email draft will appear

  4. Select Ask me to...

  5. Enter your prompt, then select Write draft

    • In your prompt, you can ask for specific changes to the AI draft, or give entirely new instructions on what kind of email you’d like to write. The draft will be based on your tone of voice and the language that the client wrote with.

  6. Select Send

  7. The email will appear in the project’s activity feed and client's email inbox

Mobile

  1. From the navigation menu, select Projects

  2. Find and select the desired project

  3. Select Send email. An email draft will appear.

  4. Select Edit with AI

  5. Enter your prompt, then select Write draft

    • In your prompt, you can ask for specific changes to the AI draft, or give entirely new instructions on what kind of email you’d like to write. The draft will be based on your tone of voice and the language that the client wrote with.

  6. Select Send


How do HoneyBook’s email drafts know my tone of voice?

Email drafts help you quickly create and edit emails that sound more like you. To do this, HoneyBook AI learns from the way you’ve already been communicating—such as in your company details, projects, and past emails—to generate text in your tone of voice. For example, if you love using exclamation points in your communications with clients, chances are that HoneyBook AI will include exclamation points in your email drafts.
