Embed meeting slots in your emails

Add meeting slots to your emails so your clients can quickly set up time with you.

Updated over 2 months ago

When emailing your clients, you can add meeting time slots so they can schedule a session with you right from the email.

Add meeting slots to your emails

You can create emails that have meeting slots from both the client workspace and project workspace, as well as from the app.

📚 Tip

You can’t create an email template with meeting slots. Since the available slots are based on your availability when you create an email, you’ll need to remove the specific time slots to save the email as a template.

  1. While composing an email or creating an email template, select the calendar icon at the bottom of the composer

  2. Select which session type you want to include in the email

    1. Depending on your availability, time slots will populate in the email body

    2. If you have no availability for this session type over the next 3 months, no time slots will appear

  3. Optionally, select View all availability in the composer to change the linked text (e.g., “See more options”)

    1. If you do this, select Save at the bottom of the pop-up

  4. Optionally, change the time zone that’s used for these session times by selecting Change above the time slots

    1. If you do this, select Save at the bottom of the pop-up

  5. Continue composing your email > send it or schedule it

📣 Note

If you schedule an email with meeting slots, the slots in the email won’t update if your availability changes. If the time slot is taken by another client, the one receiving this email won’t be able to schedule a session during that time.

From here, your client will get the email with time slots. When they select a time slot, a new page with the Scheduler will open up so they can confirm their choice. They can also change the time zone that the time slots will appear in, and can view more options (which will also open up the Scheduler).
