How to schedule a smart file send

Schedule smart files to get sent to your clients at a more optimal time.

Create smart files now and schedule them to be sent later. This feature helps make sure you can share information with your clients when you're ready, scheduled up to 18 months in advance.

Emails are sent through the project workspace, so you'll need either an existing project that has the email participant in it, or you can create a new one.


Schedule sharing a smart file

  1. When you're done building/editing your smart file, select Share from the top menu

  2. Write the email you want to send (or use an email template)

  3. Next to Send, select the drop-down menu > select Schedule email

  4. Set when this email should be sent > select Send Later

    1. Emails can be scheduled up to 18 months away

  5. From here, you'll get sent to the File Summary

    1. A note will appear letting you know when the file is scheduled to send

    2. The email and file will appear in the project's activity feed (that only you can see) with a banner also letting you know when the smart file will be sent

Note

If you need to edit the scheduled smart file before it's sent, cancel the scheduled send, make your edits, then reschedule the smart file send. The next section will walk you through canceling a smart file send.


Cancel a smart file send

  1. Use the search bar or select Projects from the top navigation menu to get to the project that holds the scheduled send you want to cancel

  2. Once you're in the project workspace, there's a few ways you can cancel a smart file send:

    1. Locate the scheduled smart file in the activity feed > select the triple-dot icon > select Cancel scheduled send

    2. Locate the scheduled email that holds the smart file in your activity feed > select the trash can icon

    3. Select the scheduled smart file in the activity feed to open it's File Summary > select Cancel scheduled send

    4. Select the scheduled smart file in the activity feed to open it's File Summary > select Share > select the trash can icon

  3. Once you cancel, the email and smart file will be removed from the activity feed and will not be sent out
