What you can expect to get from the Files tab and what info you'll find in it.

The Files tab provides a centralized view of your files across all client projects. We’ll cover how to access the Files tab, use the filters and columns, and take quick actions, below.


Access the Files tab

From your top navigation bar, click Files > All files.

📣 Note

The Files tab includes smart files only and does not support legacy files.

Apply filters

The Files tab filters can help you drill into specific file types or statuses, for additional insights.

  • File type: From the drop-down, select the file type that you’d like to view

  • Status: Select if you’d like to view only Sent or Draft files

  • Send date: From the drop-down, select if you’d like to view files sent only This month, This year, or Last year

Understand the columns

You’ll see a few columns in the Files tab. Each row represents a file drafted or shared in a client project. Click on a column to sort your files by the column header (e.g., click Client name to sort the files alphabetically by first client name).

  • File name: The name of the file

  • Actions: The action blocks included in the file (questions, invoice & pay, contract, services, and/or scheduler)

  • Sent: The date that the file was shared

    • If you’ve applied the Draft filter, this column will show the Last edited date instead

  • Status: The file status

    • Draft: The file has been drafted in a project but has not yet been shared

    • Sent: The file has been shared with the project participants but has not yet been opened

    • In progress: The file is in progress (some actions have been completed by the client, but not all)

    • Paid: The client fully paid the file

    • Overdue: The file contains an overdue payment

    • Completed: The client has completed all actions and mandatory questions and has navigated to the final page of the file

      • If the final page contains questions or actions, the client must submit the final page in order for the file to be considered completed

  • Clients: The project participants that the file was shared with

  • Project: The name of the client project that file was shared in

  • Amount: The grand total of the file’s payment schedule

    • This column is visible only if you’ve applied the Invoices filter

  • Paid to date: The value paid through the file so far

    • This column is visible only if you’ve applied the Invoices filter and did not apply the Draft filter

  • Payments: The total number of payments included in the file, the number paid so far, and the next payment due date

    • This column is visible only if you’ve applied the Invoices filter

    • You may need to scroll horizontally to view this column

  • Signatures: The total number of signatures included in the file and who has signed so far

    • This column is visible only if you’ve applied the Contracts filter

Take quick actions

You can rename, preview, configure, mark as complete, and delete files right from the Files tab. These are called quick actions.

  1. From the Files tab, locate the file that you’d like to take a quick action in and click the three dot icon

  2. Select your action

    1. Depending on your selection, you may be prompted to take some additional steps to complete the action

      1. If prompted, be sure to click Save to save your changes

    2. Depending on the file status, you may not be able to complete the selected action

      1. For example, if the file contains payments or a signed contract, it cannot be deleted and you may wish to manually expire the file instead
