How to fill out a file on your client's behalf

Have a client you’re working through a file with in person, or who maybe isn’t as tech-savvy? You can now edit files on your clients’ behalf. Enter answers to questions, select services, and schedule sessions as your client to move the project along and capture all of the correct information.


How to

1. First, search for and open the file you’d like to edit on the client’s behalf.

  • You can search for a specific file via the search icon, or locate the project that contains the file > open the document from the project’s Files tab.

2. From the file summary view, select the Edit file drop-down > Edit client response.

3. The file will open in a new tab. From this view, any edits you make will be applied to the active file and will be visible to all project participants. Click Continue to confirm you understand.

4. Make any changes on behalf of your client. Answers to questions and session scheduling will save in real-time; service selections and smart field entries will save after you proceed to the next page.

What edits can I make on a client’s behalf?

At this time, you are able to do the following on behalf of your client:

  • Answer questions

  • Edit answers to questions

  • Select services, as long as payment has not been made through the file

  • Change service selections, as long as payment has not been made through the file

  • Fill out contract smart fields

  • Schedule a session, as long as required payments (if any) for the session have already been made

As this time, you cannot:

  • Make payments

  • Sign contracts

Why would I want to enter information as my client?

"Edit client response" mode is perfect for a number of situations. For example:

  • You're working through a file with your client in person and want to input their answers/selections

  • Your client isn't as tech-savvy and needs help filling out certain details

Why can I not edit a file on my client’s behalf?

If you’re having trouble working on a file as your client, there are a few things to check. If a file has the status "Completed," it cannot be edited and you will see a blocked cursor.

First, make sure that the file is active and published.

  • Active: The file is not expired and not completed

    • Completed: All required questions, actions, and pages completed

  • Published: The file has been shared and is not in draft mode

Check that there are no changes requiring your client’s approval.

  • Some file changes will require your client to approve the changes before they (or you, on your client’s behalf) can take additional action on the file. If changes are waiting on your client’s approval, you will not be able to edit the file as your client until they approve the changes.

What members of my team can edit a file as the client?

Any team member can edit a file as the client, as long as they’ve been added to the corresponding project workspace.

The account owner, super admin, and admins can edit any file as the client, even if they are not part of the corresponding project.
