How to create, manage, and apply tags

You can use tags to filter through and group projects and contacts.


Manage tags

  1. From the navigation menu, select Settings > Company settings

  2. Select the PREFERENCES tab

  3. By "Tags," select the pencil icon

  4. Edit your tags. From here:

    1. Create new tag: Select the plus icon and enter the tag name, then select a color > Save

    2. Edit existing tag: Hover over the tag in question and select the pencil icon. Then enter a new name and select a new color > Save

    3. Delete existing tag: Hover over the tag in question and select the pencil icon > Delete

  5. Select DONE

Consider creating tags for:

  • Project statuses

    • Examples: "Urgent," "On hold"

  • Project locations

    • Examples: "Virtual," "Live"

  • Contact types

    • Examples: "Frugal," "Big spender"


Tag management for projects

Add tag to project

  1. Find and open the project you'll add a tag to by using the search bar or project pipeline

  2. In the "Tags" dropdown, select the tags you want to add

Remove tag from project

  1. Find and open the project you'll add a tag to by using the search bar or project pipeline

  2. By the "Tags" dropdown, select the X icon by the tags you want to remove

Bulk add or remove tags from projects

  1. From the navigation menu, select Projects. Hover over each project that'll be bulk edited, then select the checkbox next to the name

  2. Select the Add or remove tags icon, then select either:

    1. Choose which tags to add... if adding tags

    2. Choose which tags to remove... if removing tags

  3. Select what tags you want to add or remove from the projects

  4. Select ADD TO [number of] PROJECT(S) if adding tags, or REMOVE FROM [number of] PROJECT(S) if removing tags

Filter projects by tags

This is a great tool to use if you need to take a bulk action, for example, sending a bulk email, with all projects that have a specific tag. You can filter by tag first, then take that action.

  1. From the navigation menu, select Projects

  2. Select a pipeline stage or ACTIVE PROJECTS if you want to view all active projects

  3. Select Filter by tag

  4. Select which tags you'll filter by. As you select tags, your projects will get filtered

    1. Remove a filter by selecting the X icon next to it


Tag management for contacts

Add tags to contact

  1. From the navigation menu, select Contacts

  2. Select the contact you'll add a tag to

  3. Under the contact's name, select Add tags

  4. In the "Add tags..." dropdown, select the tags you'll add to the contact

Remove tags from contact

  1. From the navigation menu, select Contacts

  2. Select the contact you'll remove a tag from

  3. Select the tag or the Edit or add tags icon next to it

  4. Next to the tags you want to remove, select the X icon

Bulk add or remove tags from contacts

  1. From the navigation menu, select Contacts

  2. Hover over each contact you'll bulk edit, then select the checkbox next to their name

    1. You can use filters to refine your contacts list

  3. Select the Add or remove tags icon > select either:

    1. Choose which tags to add... if adding tags

    2. Choose which tags to remove... if removing tags

  4. Select what tags you'll add to or remove from the contacts

  5. Select ADD TO [number of] CONTACT(S) if adding tags, or REMOVE FROM [number of] CONTACT(S) if removing tags

Filter contacts by tags

This is a great tool to use if you need to view all contacts that have a specific tag applied:

  1. From the navigation menu, select Contacts

  2. Select Filter

  3. Under "FILTER BY TAGS," select what tags in the dropdown you want to filter by

  4. As you select tags, your contacts table will get filtered

  5. Remove a tag filter by selecting the X icon next to each tag
