Adding services with scheduling

Give your clients the option to schedule a session when they book a service through a smart file and/or lead form

When you’re creating a smart file or lead form, you can add a services block which offers clients a selection of services. One of the options is to provide a service selection with scheduling, which allows your client to schedule a meeting based on the session that was selected. A smoother booking process means time saved for you and your clients.

This cuts out the need to go back and forth with your client to select a session type and set up time to meet. Instead, they’ll schedule the session at the same time they pick the service.

There’s three steps to adding a schedulable service to a smart file or lead form:

1. Adding a services block with scheduling, then attaching sessions to each service

2. Reviewing your session options in the Scheduler (which is automatically added)

3. Adding an invoice page


Add a services block with scheduling

1. First, get started working on a smart file or lead form.

2. From within your file or form, click the large plus (+) sign to add a new block.

3. Under Actions, select Services.

4. In the right menu, select Start from blank + → select Service selection with scheduling. A services block will be added to the page, and a new page with a Scheduler block will be created.

5. Add a service to the services block you just created by selecting Type to add or search a service… then selecting the service.

a. You can edit the service name, description, and price as needed for the entire service.

6. Select Add session, then select the session you want to add from the right menu. This will be the session your client schedules for this service.

a. You can also allow clients to customize the quantity of your service themselves from the right menu.

b. If you don’t see the session you want to add, you may need to create a new one. Learn more about creating sessions.

Note

This will be the session your client schedules for this service, and it is included in the pricing you set for your entire service. If you want to offer a session as your entire service, set the pricing details to match the session duration. For example, if your total service price should be $200 and you want your client to schedule a 2 hour session, set the per-hour price to $100.

7. Edit the Qty (quantity) field, what unit your service uses (e.g., hours), and the unit price from the right menu. This will update the total cost of the service item.

8. Optionally, select + Add sub item to add any sub items to the service you added. Clients will not be able to schedule sessions for these sub items.

📣 Note

Only one services block with scheduling can be used per smart file or lead form. However, you can offer multiple service items with one session per item within the block. If you choose to do this, your client will be required to select only one service and schedule one session for it.


Confirm your session choices in the Scheduler

The time slot choices a client has are based on your session availability settings. Learn more about session availability settings.

1. From the right menu of the builder, select the Scheduler page. This will be the page below the one you were just working on.

2. Select View Sessions to see what sessions are available for your client to schedule. This list comes from the sessions you selected in step 6 above.

a. If you want to change what sessions are available, return to the services page and edit the sessions tied to each service.


Add an invoice page

1. From the right menu of the builder, select + Add page.

a. If you don’t see this option, select the X at the top of the menu.

2. From the right menu, select + Start from blank.

3. Under Actions, select Invoice & Pay.

4. From the right menu, select + Start from blank → select whether the invoice is standard (one-time) or recurring.

5. The service selection with sessions will automatically appear on the invoice. Below this, add any additional service items you want to include on the invoice by selecting + Add service item.

A payment page will also be added to the file or form so the client can make a payment towards the invoice. Learn more about editing clients’ payment options.


FAQs

What happens if I don’t want to include service selection anymore?

If you decide to delete the services block, you’ll need to re-add a session to the Scheduler block. Deleting the services block will remove the Scheduler block’s chosen session, but won't remove the Scheduler block itself.


What happens if I don’t want to have session scheduling in my file or form anymore?

If you decide to delete the Scheduler block, the linked services block will also be deleted. If you still want services available for the client to select, you’ll need to add a new services block.
