Track your client paying outside of HoneyBook

How to record manual payments and share or manually publish files to add the income to your bookkeeping

While the easiest way to get paid is directly through HoneyBook, you can still track payments made outside the platform—like cash, check, or other methods. This article covers how to mark a payment as paid after the file has been sent to your client. You’ll need to send the file before logging any payments.

HoneyBook doesn’t support payments via PayPal, Venmo, or personal Stripe accounts. All in-platform payments are processed through HoneyBook and sent directly to your connected bank account. To keep your records accurate, you can manually record any payments received outside HoneyBook.

📚 Tip

You can’t disable in-platform payments or remove the payments page from invoices, but sending a view-only services block can help if you don’t want to prompt payment.

1. Find and open the file you need to adjust by using the search bar or accessing the project workspace's Activity or Files tabs

2. Look for the Invoice section in the file's Action Summary

3. Select the payment you want to mark as paid

4. Select Mark as Paid

5. Select the method and date of the payment > select Mark as Paid

6. Now, the payment will show as Paid in the file's Action Summary

a. Your Bookkeeping tool, and it will be included in your reporting

For bookkeeping purposes, if you are using the HoneyBook and QuickBooks integration and receive a payment outside of HoneyBook (via cash, check, ACH, or other methods), you can manually mark the payment as 'Paid.' If the payment has been deposited or received into the bank account connected to your QuickBooks dashboard in HoneyBook, a 'match' will appear in QuickBooks under your bank feed, aligned with the corresponding transaction.
