Schedule your email and/or file to be sent later

How to create an email and/or smart file now, but schedule it to send at a later date and time.

Create your emails and/or files and schedule them to be sent at a later date. That way, you can work through your tasks now and ensure everything's queued up for the right time.


Schedule a standalone email

  1. When you're ready, select the dropdown next to Send > select Schedule send

  2. Select the date this email should be sent > select the send time

  3. Click Send Later to confirm

The email you create will appear in the project's activity feed with a scheduled sending time. Unless you cancel before the set time, the email will be automatically sent to all project members at the chosen date and time.


Schedule a smart file

  1. Get ready to share your file and compose the message that will go out with it

  2. When you're ready, select the dropdown next to Send > select Schedule email

  3. Set when the email and file should be sent > select Send Later

    1. Emails can be scheduled up to 18 months away

    From here, you'll get sent to the File Summary

    1. A note will appear letting you know when the file is scheduled to send

    2. The email and file will appear in the project's activity feed (that only you can see) with a banner also letting you know when the smart file will be sent

Note

If you need to edit the scheduled file before it's sent, cancel the scheduled send, make your edits, then reschedule the smart file send.


Cancel a scheduled standalone email

  1. Find and open the project that has the scheduled email. You can use the search bar or go to the Projects tab

  2. Select the Activity tab

  3. Find the scheduled email in your activity feed > select the trash can icon

  4. Select Confirm

The email will disappear from the project's activity feed and will not be sent to the project participants


Cancel a scheduled smart file

  1. Find and open the project that has the scheduled file. You can use the search bar or go to the Projects tab

  2. Once you're in the project workspace, there's a few ways you can cancel a smart file send:

    1. Locate the scheduled smart file in the activity feed > select the three dot icon > Cancel scheduled send

    2. Locate the scheduled email that holds the smart file in the activity feed > select the trash can icon

    3. Select the scheduled smart file in the activity feed to open its File Summary > select Cancel scheduled send

  3. Select Confirm

Once you cancel, the email and smart file will be removed from the activity feed and will not be sent out.
