The pipeline is a tool that helps you view and organize your client projects. Customize your pipeline by adding, renaming, and moving stages; adding custom views; and more; to reflect your business processes.
📣 Note
Only account owners and super admins can edit the pipeline and add custom views. Any changes made will take effect company-wide. This means you should consider:
If other team members are added to the company, the pipeline changes will take effect for them, too
If you have other companies in HoneyBook, the pipelines for those companies will not be impacted
Clients cannot view your pipeline. However, they can see the name of the pipeline stage(s) associated with any projects they've been added to.
Customize pipeline stages
Pipeline stages are the unique steps in your business process. You can add, delete, and rename stages so that your business process is reflected in HoneyBook.
Add a stage
📚 Tip
Currently, you can add up to 20 custom pipeline stages.
From the navigation menu, click the Projects tab
Click the Customize pipeline button above your pipeline
Click + Add stage
Enter the stage name
Hover over the stage > click the 6 dot icon > drag and drop to move the stage's place in your pipeline
When you’re finished making changes, click Save
Rename, reorder, or delete a stage
From the navigation menu, click the Projects tab
Click the Customize pipeline button above your pipeline
Choose to rename, reorder, or delete a stage
Rename: Hover over the name of the stage you’d like to change > type in the new name
Reorder: Hover over the stage you’d like to move > click the 6 dot icon and drag and drop the stage to the new place in your pipeline
Delete: Hover over the stage you’d like to delete > click the trash can icon > Delete Stage to confirm
When you’re finished making changes, click Save
Add custom pipeline views
When you get started with HoneyBook, you have a main pipeline view. You can also create additional, custom pipeline views. Custom pipeline views:
Are visible to you and other members of your team
Allow you to show or hide specific pipeline stages from that custom view
Allow you to show or hide group stages (Opportunities vs. Projects) from that custom view
Allow you to apply filters, show/hide columns, and "sort by" options that will save only for that custom view
Note that if you delete, rename, reorder, or add a stage; or adjust pipeline automations; those changes will take affect for all pipeline views.
Add a custom view
📚 Tip
Currently, you can add up to 5 custom pipeline views per company.
From the navigation menu, click the Projects tab
By Main view, select the plus (+) sign to add a custom view
Click the Customize pipeline button above your pipeline
Choose to show or hide specific pipeline stages, which will affect only your custom view
Choose to show or hide group stages, which will affect only your custom view
Rename, delete, or duplicate a custom view
From the navigation menu, click the Projects tab
Hover over the custom view in question and click the three dot icon that appears by it
Choose to rename, duplicate, or delete the custom view
Rename: Select Rename > enter the new name > click Save
Duplicate: Select Duplicate
The duplicate will be added as a new custom view, named "Copy of [old view name]"
Delete: Select Delete > Delete view to confirm
Manage pipeline automations
When you set up pipeline automations, you can choose the pipeline stages that projects will move to when you or your client take specific actions (an "event"). This saves you the manual work of tracking each and every project.
📚 Tip
Pipeline automations are different from the automations feature. Pipeline automations allow you to select what pipeline stage projects will move to when you or your client take a specific action.
The automations feature allows you to automatically send emails or files, and create internal tasks, at the cadence of your choice; for all projects that have the automation applied.
From the navigation menu, click the Projects tab
Click the Customize pipeline button above your pipeline
Select Manage pipeline automations to open the drop-down
From the pipeline automations editor, you can:
Toggle each pipeline automation ON or OFF
From the drop-downs, select the pipeline stage that each event will cause projects to automatically move to
When you’re finished making changes, click Save
Below are suggestions for pipeline automations:
Pipeline automation | Event | Suggested stage |
New projects | Lead/contact form submission or manual project entry created | Inquiry, or whatever stage comes first in your pipeline |
First email sent | When the first email follow-up is sent | Follow-up, or whatever stage reflects first communication |
Invoice/contract sent |
When the first invoice and/or contract is sent | Proposal sent, or whatever stage reflects a booking file sent but not yet signed/paid |
Contract signed | When the contract is signed | Proposal signed, or whatever stage reflects this stage of the contract |
First payment received | When a client makes their first payment or it's marked as paid | Planning, or whatever stage reflects this point in the payment schedule |
Second payment received | When a client makes their second payment or it's marked as paid | Planning, or whatever stage reflects this point in the payment schedule |
