How to Map Services in HoneyBook Invoices to QuickBooks Services
HoneyBook now allows you to map the services you sell in your HoneyBook invoices directly to the services you’ve created in your QuickBooks account. This new feature gives you greater control over your financial reporting and ensures accurate tracking of your profit and loss.
Creating QuickBooks Services
In your QuickBooks account, select Sales > Products and Services to create different services and map them to individual charts of accounts.
On the side panel that appears, select “Service”. This is the standard selection for a line item that’s a service you provide to your clients. Refunds given would also fall into this category.
You’ll now be prompted to enter details about the service, including assigning a chart of account or "income account" to the service.
Once the service is linked to a chart of accounts, these QuickBooks services can be mapped to to the service items you bill on your HoneyBook invoices, ensuring that the items on your HoneyBook invoices will report exactly where you want them to in QuickBooks. If you create a new service, return to your HoneyBook QuickBooks Dashboard and click Sync your accounts to bring that new service into HoneyBook.
Mapping Services in an Invoice
Let’s go through how to map services in a HoneyBook invoice:
Open your invoice template and add your services
For each service, use the QuickBooks Integration dropdown on the right hand side to select the corresponding QuickBooks Service.
If you've just updated or created the QuickBooks service and don't see it listed, return to the QuickBooks dashboard and select re-sync your accounts.
📚 Tip
After assigning a QuickBooks service, be sure to click outside of the services box on the invoice to save your selection before moving on to the next service. The team is working on fixing this known bug.
Syncing Invoices with QuickBooks
After sending the invoice and receiving a payment, the invoice will sync with your QuickBooks account. The corresponding invoice in QuickBooks will show the mapped services and the amounts will apply to the correct chart of accounts in your Profit & Loss statement. This mapping ensures that your revenue is accurately reported in the correct chart of accounts, helping you maintain precise profit and loss records.
