Hide, archive, or unarchive a project in HoneyBook

Learn the difference between hiding, archiving, and unarchiving a project in HoneyBook, and what happens to files, payments, and notifications in each case

There are 2 ways to get an inactive project out of your active pipeline view: hiding it (marking it as Do not track on pipeline) or archiving it. They're not interchangeable — hiding is a lightweight visibility toggle, while archiving is a full closeout action with real side effects on notifications, payments, and files.

If you're not sure which one you need: if the relationship or project is genuinely over, archive it. If you just want it out of your immediate view for now, hide it instead.


Hide a project (Do not track on pipeline)

If you want to remove a project from your pipeline without archiving it, use the Do not track on pipeline stage. This pulls the project off the pipeline, but it can still be accessed through the project workspace. Nothing else about the project changes — notifications, payments, and files all continue as normal.

If you use related workspaces, you can set the project on those related workspaces to Do not track on pipeline, while keeping it on the pipeline of your main workspace.

📚 Tip

If you were added as a collaborator to a project, that project won't appear on your pipeline by default.

Mark a project as "Do not track on pipeline"

  1. From the navigation menu, select Projects

  2. Find and open a project you want to hide

  3. On the right side of your project workspace under “About this project,” select the Stage dropdown > Do not track on pipeline

  4. This project will no longer appear on your project pipeline. Projects can be put back on the pipeline if you update their stage in the project workspace.


Archive a project

Once a project is complete, or if it's been abandoned — whether the service has been delivered, the final payment has been made, or the relationship has ended — you can keep your workspace organized by archiving the project.

Archiving doesn't delete the project. Instead, it removes it from your active stage views and stores it in the Archived stage of your pipeline, while preserving all data and records. Clients can still send messages through archived projects, and you'll receive notifications for these emails.

From the pipeline

  1. From the navigation menu, select Projects

  2. If you’re in:

    • Table view icon Table view (table icon): Select your project > Vertical ellipsis icon More options (vertical ellipsis icon) > Archive

    • Board view icon Board view (Kanban icon): Select and drag your project to the right, to drop into the Archived stage of your pipeline

  3. Choose the archive reason, or create a new one

  4. Select Archive project

From the project workspace

  1. Find and open the project you want to archive

  2. On the right side of your project workspace under “About this project,” select the Stage dropdown > Archive

  3. Choose the archive reason, or create a new one

  4. Select Archive project

What happens when you archive a project

  • The project will be removed from your active pipeline view

  • The project will be in the Archived stage of your pipeline

  • Clients will no longer receive automated messages or payment reminders

  • Any automated or recurring payments that were previously set up will be stopped

  • All files within the project will expire, meaning you and clients can still access them, but no further action can be taken by you or your clients — except for booked files, which won’t expire and remain fully active even after the project is archived

  • The project date (or date range) will be removed from your HoneyBook Calendar and any externally synced calendars

  • No data will be lost — all files, messages, payments, and activity logs will be preserved and visible to you and your clients

  • Outstanding payment information will be removed from your Payments page

    • Paid payments will still be tracked in both your Payments and Reports pages

Track archive details

From your pipeline in Table view icon Table view (table icon), there are 2 dedicated columns to help you monitor archived projects. These columns help you sort and report on project outcomes, trends, and closeout activity.

  1. From the navigation menu, select Projects

  2. Scroll to the right, then select Archived

  3. Scroll to the right, then you'll see:

    • Archive Reason: Why the project was archived, for example, it was completed, canceled, or had no response

    • Archive Date: The exact date the project was archived


Unarchive a project

If you need to revive an archived project, you can unarchive it. This returns the project to your pipeline and re-engages all related workflows.

  1. Use the search bar, or select Projects

  2. Move the project to an active pipeline stage — how you do this depends on where you're working:

    • Table view icon Table view (table icon): Select Archived > your project > Move stage > an active pipeline stage > Move 1 project

    • Board view icon Board view (Kanban icon): Scroll to the right, then select and drag your project out of the Archived stage to an active pipeline stage

    • Project workspace: Open your project, then on the right side under “About this project,” select the Stage dropdown > an active pipeline stage

What happens when you unarchive a project

  • It becomes active again in your project pipeline

  • All previously sent files remain expired — except booked files, which stayed active throughout the archive and were never expired in the first place. You can manually unexpire other specific files if you want your clients to still take action on them.

  • You can create and share new files

  • Any automation runs will remain stopped and won’t resume
