Customize your pipeline in HoneyBook

Learn how to set up and manage your HoneyBook pipeline — including stages, custom views, automations, and the project table — to match your business process

The pipeline helps you view and organize your client projects from inquiry to completion. You can customize it by adding and renaming stages, building custom views, setting up automations, and adjusting the project table to fit your workflow.

📣 Note

  • Only account owners and super admins can edit the pipeline and add custom views

  • Changes apply company-wide — including for any team members added later

  • Pipelines for other companies in your HoneyBook account aren’t affected


Customize pipeline stages

Pipeline stages are the steps in your business process. You can add, rename, reorder, and delete stages to reflect how you work.

📚 Tip

You can add up to 20 custom pipeline stages.

Add a stage

  1. From the navigation menu, select Projects

  2. Select Customize > Edit pipeline stages > + Add stage

  3. Enter the stage name, then select Continue > Save

Rename a stage

  1. From the navigation menu, select Projects

  2. Select Customize > Edit pipeline stages

  3. Hover over the stage name, then select and enter the new name

  4. Select Continue > Save

Reorder a stage

  1. From the navigation menu, select Projects

  2. Select Customize > Edit pipeline stages

  3. Hover over the stage, then select Drag handle icon Move stage (drag handle icon)

  4. Drag and drop the stage into the position you want, then select Continue > Save

Delete a stage

  1. From the navigation menu, select Projects

  2. Select Customize > Edit pipeline stages

  3. Hover over the stage, then select Delete stage icon Delete stage (trash icon) > Save


Add custom pipeline views

In addition to your main pipeline view, you can create up to 5 custom views per company. Custom views let you and your team focus on specific subsets of your pipeline without changing the underlying data. They allow you to:

📣 Note

  • You can’t rename group stages (opportunities vs. projects). They’re visible to your internal team only, not to clients.

  • Changes to stages, stage order, or pipeline automations apply to all views — not just the custom view you're editing

Add a custom view

  1. From the navigation menu, select Projects

  2. Select Add custom view icon Add custom view (plus icon), close to the Main view tab

  3. Select Customize > Edit pipeline stages

  4. Choose which pipeline stages and group stages to show or hide for this view

📚 Tip

Optionally, apply filters — note that filters affect the Projects table only, not the pipeline stage totals.

Rename, duplicate, or delete a custom view

  1. From the navigation menu, select Projects

  2. Hover over the custom view close to the Main view tab, then select the More actions menu icon three-dot menu icon

  3. Choose an action:

    • Rename: Select Rename, then enter the new name and select Save

    • Duplicate: Select Duplicate — the new view will be named "Copy of [view name]"

    • Delete: Select Delete > Delete view to confirm


Manage pipeline automations

Pipeline automations move projects to the right stage automatically when key actions occur — so you don't have to update each project manually.

📚 Tips

  • Pipeline automations are different from the automations feature

  • Pipeline automations move projects between stages when a specific event occurs, like a contract being signed

  • The automations feature sends emails, files, or creates tasks on a schedule for projects that have the automation applied

Set up pipeline automations

  1. From the navigation menu, select Projects

  2. Select Customize > Edit pipeline stages

  3. Select Manage pipeline automations

  4. Turn each automation on or off

  5. Use the dropdowns to select which stage each event should move projects to

  6. Select Save

📣 Note

Emails sent by the automations feature don’t trigger pipeline stage moves. As a workaround, add a Move Pipeline stage action to the same automation. This lets the automation move the project to the correct stage when your chosen trigger occurs.


Work with the “Projects” table

The Projects table gives you a detailed view of all your projects in one place, while making it easy to navigate and take action at scale.

Rearrange columns

  • Columns in the Projects table are draggable

  • Hover over a column header and drag it left or right to reorder columns to match your workflow

  • Column order is saved per view

Navigate with pagination

  • The Projects table uses pagination instead of infinite scroll

  • Use the page controls at the bottom of the table to move between pages — making it easier to track your position and load projects predictably

Take bulk actions

Bulk actions are in a dedicated bar at the bottom of the Projects table when one or more projects are selected. To take a bulk action:

  1. Select one or more projects using the checkboxes on the left

  2. The bulk action bar appears at the bottom of the screen

  3. Choose the bulk action you want to apply

Select all projects

  • Check the select all checkbox at the top of the Projects table to select every project on the current page

  • To select all projects across all pages, choose Select all in the bulk action bar

Select all projects while excluding specific items

  1. Select all projects using the previous steps

  2. Uncheck the individual projects you want to exclude

  3. Choose the bulk action — it’ll apply to all selected projects except the ones you unchecked
