Archive completed projects in HoneyBook and track archive status

Learn how to archive completed HoneyBook projects and track them using archive reason and archive date columns in your pipeline view

Updated this week

Once a project is complete—whether the service has been delivered, the final payment has been made, or the relationship has ended—you can keep your workspace organized by archiving the project in HoneyBook.

Archiving doesn’t delete the project—it removes it from your active stage views and stores it in the Archive section of your pipeline, while preserving all data and records, helping you maintain an accurate and uncluttered workflow. Clients can still send messages through archived projects, and you'll receive notifications for these emails.

Archiving a project also automatically expires all files within it.

Why you should archive completed projects

  • Keeps your pipeline clean and focused on active clients

  • Helps you quickly access historical records for reference or reporting

  • Ensures accurate business metrics by distinguishing active vs. inactive work

  • Preserves all files, messages, payments, and activity logs

Best practices for project archiving

  • Archive projects as soon as they are fully completed or canceled

  • Use consistent archive reasons to maintain clean data

  • Review archive trends monthly to monitor client retention or project outcomes

  • Include internal notes in the project for additional context, if needed

Archive a project in HoneyBook

From the pipeline

  1. From the navigation menu, select Projects

  2. Hover over the project you want to archive, then select the three-dot icon > Archive

  3. Choose the archive reason, or create a new one

  4. Select Archive project

From the project workspace

  1. Use the search bar to find and open the project you want to archive

  2. By the “Stage” dropdown, select Archive

  3. Choose the archive reason, or create a new one

  4. Select Archive project

📚 Tip

If you need to revive a project, you can unarchive it. This will return the project to your pipeline and re-engage all related workflows.

Track archive reasons and dates in your pipeline

HoneyBook makes it easy to monitor archived projects with 2 dedicated columns in the pipeline view:

  • Archive reason: See why the project was archived, for example, it was completed, canceled, or had no response

  • Archive date: View the exact date the project was archived

These columns help you sort and report on project outcomes, trends, and closeout activity—all from your “Archive” section. To access:

  1. From the navigation menu, select Projects

  2. Select Archive
