Use the HoneyBook AI in-person notetaker for meeting notes

How to record and automatically generate notes with HoneyBook AI for an in-person meeting

HoneyBook AI’s in-person meeting notetaker prompts you to enable recording for an in-person session, then generates notes shortly after the meeting wraps up. It lets you focus your time and energy on the meeting itself, without having to worry about taking notes or making a mental list of action items.

Getting meeting notes for an in-person meeting is a 2-step process. You need to:

  1. Have the notetaker record the meeting through the HoneyBook mobile app

  2. Wait while HoneyBook AI generates the meeting notes, which you can access afterwards


Adjust the settings

In-person meeting summaries are turned off by default.

  1. From the navigation menu, select your company logo > Company settings

  2. Under "Meeting notetaker," turn In-person meeting summaries on or off

📣 Note
HoneyBook AI's in-person meeting notetaker can only record from the HoneyBook mobile app at this time.


Record an in-person meeting

Ten minutes before each eligible meeting, you’ll be notified that the notetaker is available by mobile push notification. You can also use the it to schedule a meeting on-demand, in case something pops up.

🔥 Stop

Before you begin, make sure you’re using the most recent version of the HoneyBook mobile app.

  1. Open the HoneyBook mobile app

  2. Select Tools

  3. Select Record meeting

  4. Select the meeting you want to record, or + Create meeting

    • If you don’t have an in-person meeting scheduled, you’ll be prompted to create one and add it to an existing project. Once you’ve created a meeting, select Schedule.

  5. Select Record in-person meeting Record meeting to begin recording the in-person meeting

  6. While you’re recording, you can select Pause recording to temporarily stop the meeting recording, then select Record in-person meeting Record meeting to resume any time

  7. When the meeting is over, select Save & transcribe recording

    • Alternatively, select Discard > Yes, discard if you don’t want HoneyBook AI to generate meeting notes

  8. If you chose to save and transcribe the recording, hang tight while HoneyBook AI generates the meeting notes. This can take up to 5 minutes. You'll receive a notification when they're ready.

📣 Note

The recording limit for in-person meetings is 1.5 hours. To generate notes, there needs to be at least 2 people in the meeting and at least 10 sentences spoken.


Access the meeting notes

Once you’ve recorded and saved an in-person meeting using the notetaker, HoneyBook AI will start generating meeting notes. This can take up to 5 minutes. There are a few different ways you’ll be alerted once the notes are ready.

Notification center

As soon as HoneyBook AI meeting notes are ready, the project owner and meeting owner (if they're different members) will receive a notification, which you can find if you select Notifications icon Notifications (bell icon). Select the notification to be brought straight to the notes.

Project

  1. Search for, then open the project through which the meeting was held

  2. Under "Activity," select View meeting notes

Email inbox

Once HoneyBook AI meeting notes are ready, the project owner and meeting owner (if they're different members) will receive an email. Access the email, then select View meeting notes to be brought straight to the notes.

HoneyBook Calendar

  1. From the navigation menu, select Calendar

  2. Select the meeting in question > AI meeting notes

Mobile push notification

As soon as AI meeting notes are ready, you’ll receive a mobile push notification. Select the notification to be brought straight to the notes in the HoneyBook mobile app.

What meetings are eligible for the in-person meeting notetaker?

In order for a meeting to be eligible for the in-person meeting notetaker, it must meet all the following criteria:

  • In-person meeting

  • Connected to a HoneyBook project

  • Scheduled through HoneyBook
