Defining the terms HoneyBook uses for smart files and templates.

Smart file

Smart files are documents that you use to interact with clients. They can be as simple as an invoice, contract, or questionnaire, or as complex as a multi-step booking document that allows clients to select a service, sign a contract, schedule a call, and make a payment all at once.


Template

Templates are the pre-created, ready-to-use versions of your smart files. Whenever you need to send a file to a client, you can get started from a template, make any changes, and send it off.


Template Gallery

The smart files Template Gallery is just what it sounds like—a gallery of pre-created smart templates, ranging from questionnaires and quotes to contracts and invoices. These gallery templates are here for however you choose to use them—you can save to your own templates to build off of, adjust to fit your own branding; or simply look through for some inspiration.


Blocks

Smart files are composed of blocks, which are the fundamental elements of a smart file or template. You can combine different types of blocks (invoices, contracts, text, etc.) to create personalized and structured experiences for your clients.


Services block

Your services are the services/goods you sell. You’ll add services to your invoice along with descriptions, costs, and more.


Invoice block

How you bill clients for the items or services you offer. This is a block that you can include in your smart files or templates. There are two kinds of invoices: standard invoices and recurring invoices.


Standard invoice

A standard invoice requires that you outline a set payment schedule, with set amounts. Clients will then be prompted to pay those amounts, on the preset dates.


Recurring invoice

A recurring invoice allows you to automatically bill your clients at the schedule of your choice–perfect for hands-off, recurring charges like subscription fees. Learn more recurring invoices here.


Gratuity

Gratuity is an optional payment feature for your invoices. By enabling it, clients can include a tip when making their payment. We advise leaving this feature enabled, unless your industry doesn't typically allow for tips.

Questions block

How you get info from your client with a smart file. You'll supply questions to retrieve the info you'll need, and they'll supply the answer when they're filling out the smart file.


Testimonial

A client's review of your work and about the experience of working with you. You'll want to capture these as you work with clients to show off what prospects can expect when working with you (as well as identify areas of improvement in your work).
