Add your bookkeeper to your account

Learn how to get your bookkeeper into your account, and find out what they can see and do in your account.

When you invite a bookkeeper to join your company in HoneyBook, they’ll have access to a limited view of your account, with all financial data and report analytics. Specifically, they'll only have access to the Payments and Reports screens. Any other screens will be for their own HoneyBook account, not yours.

Team members are available for HoneyBook Essentials and Premium plan members. If you have a HoneyBook Balance account, your bookkeeper will not be able to access that Finance dashboard (aka the My money page).


Grant bookkeeper access

Only super admin team members and account owners can grant bookkeeper access. Existing team members cannot be added as bookkeepers. To add a team member as a bookkeeper, either use an alternate email address or remove them from the team first.

  1. From the top navigation menu, select your profile photo > select Company settings

  2. Select the Team tab

  3. Under Bookkeeper access, select Give Access

  4. Enter the requested info

  5. Select Invite

You can add multiple bookkeepers. They will receive an email invitation with a special link to join HoneyBook. They can set their password and log in to view your financial and reporting information.

📣 Note

Your bookkeeper cannot set up your QuickBooks integration for you. You'll need to connect HoneyBook to QuickBooks yourself, as your bookkeeper doesn't have access to your QuickBooks tab (they'll only see the integration for their own HoneyBook account, not yours).


Extend bookkeeper access

When you invite a bookkeeper to join your HoneyBook company, their access is valid for 365 days. If you're still working together, you'll need to extend their access.

  1. From the top navigation menu, select your profile photo > select Company settings

  2. Select the Team tab

  3. Under Bookkeeper access, select the triple-dot icon next to the bookkeeper

  4. Select Extend access

  5. Select Confirm

This will extend your bookkeeper's access by an additional 365 days.


Remove a bookkeeper

Your bookkeeper's access will expire after 365 days of being granted (or when the extended access period ends). However, you can also revoke their access whenever you want.

  1. From the top navigation menu, select your profile photo > select Company settings

  2. Select the Team tab

  3. Under Bookkeeper access, select the triple-dot icon next to the bookkeeper

  4. Select Revoke access

  5. Read the warning message > select Confirm

You’ll see the bookkeeper's status change to Revoked, and they'll no longer be able to log in to your account.


The bookkeeper experience

When you invite a bookkeeper to join your company in HoneyBook, they will receive an email invitation with a special link. This link will prompt them to go to HoneyBook, set their password, if necessary, and log in.

Once logged in, your bookkeeper will have access to your Payments and Reports tabs.

📚 Tip

The Overview and QuickBooks tabs that your bookkeeper will see are for their own HoneyBook account, not yours. You'll need to set up your QuickBooks integration yourself, as your bookkeeper cannot do this for you.

If your bookkeeper has a paid HoneyBook account, they can switch to bookkeeper view by selecting their profile photo > select Bookkeeper Access.

If your bookkeeper is added to multiple companies in HoneyBook, they can switch between client accounts by selecting their profile photo > select their other company.
