How to add a Scheduler block to a smart file, allowing clients to book time.

Use the HoneyBook Scheduler in your smart files to add a scheduler block, choose your session type, customize settings, and send your file. Clients can book time, make instant payment, select services, sign a contract, and more, all in one go and without any back-and-forth about availability.

This article will dive into adding scheduling capabilities to a smart file. It won't walk you through the entire process of building a smart file, designing smart files, managing settings for smart files, or sharing a smart file—all important steps to building a smart file. Add a scheduler block to your smart file or template

The first step to adding scheduling to a smart file is to add the scheduler block. This is where your client will schedule time with you when they're going through the smart file.

Before you begin

You'll need to have session types set up before you add a scheduler to a smart file. Learn how to create a session type. If you're on HoneyBook's Starter plan, you can only create one session type (Essentials and Premium members can create unlimited session types).

  1. While building your new smart file, find or create the page you'll add the scheduler block to

    1. You can reuse scheduler blocks you've previously created in the new smart file (if you do, skip to the next section)

  2. On the new page, select the purple plus (+) button

  3. Select Scheduler

    1. Only one scheduler block can be added per smart file

  4. From here, add an existing session type or create a new session type

    1. If you create a new session type, you'll be brought to a new screen—come back here when you're done

Once your scheduler block is added to the smart file, you can customize it further (move on to the next section) or continue building your smart file.

📣 Note

If you choose a session type that uses round robin scheduling for multiple team members, the session will be scheduled with the next available team member. Even if the team member is not a participant in the project, the meeting will still be scheduled with them. The project owner will be notified and asked to add the team member to the project.


Customize your session

Customizing your session lets you set the details (aka session type) and requirements for that session.

📚 Tip

You won't be able to select the specific time slots while previewing the smart file's scheduler block. This doesn't mean the times are unavailable though. If the time appears in the preview, the client can select it when you send them the file.

Change the details of your session

  • Change: Select Change to change the session type included in the smart file

  • Edit details and availability: Select Edit details and availability to edit the session information—you'll be brought to a new screen, and should return here when you're done

Change the requirements of your session

  • Client must schedule session: Toggle this on if you’d like clients to be required to schedule a session before they can navigate to the next page of the smart file

  • Client must pay to reserve session: Toggle this on if you’d like the client’s session to be reserved only after they pay through the smart file

    • Turning this on will add an invoice and pay block to the smart file

    • The session will not be reserved until the client pays (other clients can schedule over the time)
