Set a thumbnail image for your smart files

Thumbnail images help you categorize your templates, add to your brand identity, and can help your clients understand what's in the file.

Adding thumbnail images to your smart files and templates can help you keep your business process organized and personalized. They provide the following benefits:

  • Easy identification of smart files

  • Adding visual interest to your process

  • Consistent branding throughout the client experience

  • Creating an internal organization system (thumbnails can be turned off for clients)

Thumbnails can also make it easier to scan your template library. You can use list view for quick scanning of titles and smart file info, or grid view for visual organization and browsing.

By default, thumbnail images are not visible to your clients, but you can enable that feature.


Set or edit a thumbnail image

Selecting a thumbnail image for a smart file template makes it the default thumbnail for that template. You can still change or update the image when using the smart file in specific projects.

  1. From the top navigation menu, select the search bar to find the smart file you want to edit

    1. If you're editing a template, select Templates > File Templates > select the template you want to edit

  2. Select the gear icon from the top menu

  3. In the Title & Thumbnail section, hover over the image > select the pencil icon

  4. Select an image from your library or upload an image

  5. Select Save

If you changed the smart file template, this image will be the new default for all future uses of the smart file. If you make a change within a specific project, only the participants in that project will see the new thumbnail, and the original smart file template will remain unchanged.


Remove a thumbnail image

  1. From the top navigation menu, select the search bar to find the smart file you want to edit

    1. If you're editing a template, select Templates > Files Templates > select the template you want to edit

  2. Select the gear icon from the top menu

  3. In the Title & Thumbnail section, hover over the image > select the trash can icon

If you made this change to a smart file template, the thumbnail image will be removed for all future smart files. If you made the change within an individual project, the participants in that project will not see a thumbnail image, but the original template will remain unaffected.


Toggle thumbnail visibility for clients

For some, thumbnail images can be a handy tool for organization—perhaps you’ve color coded your various smart files, or used other visual cues to help your behind-the-scenes process. And, in that case, you may not want thumbnail images visible to clients at all.

  1. From the top navigation menu, select your profile photo > select Company settings

  2. Select the Preferences tab

  3. Find the Smart File default settings section

  4. Toggle Display Smart File thumbnail images to clients within projects
