HoneyBook has a dedicated out of office (OOO) email feature that you can apply to all, or specific types of, inquiries and emails you receive while away. That way, you can set expectations with new leads and existing clients, and easily pick back up once you're back.
To set up an out of office reply:
1. From any page, click your profile photo in the top right corner of your screen > select My Account from the menu.
2. Scroll down to the Out of Office settings section.
3. From here, you can:
Check off the activity types that the OOO reply will send for: contact form inquiries, Scheduler inquiries, lead form inquiries, Meta lead ads, and/or new project messages
Click edit message to edit the OOO reply’s subject line and body
4. Next, click into the date fields and select the:
End date (optional)
5. When you’re ready, toggle the OOO reply ON.
Your out of office reply will start sending for the selected activities on the start date and stop at 11:59pm on the end date, if set. While on, your OOO reply will send in a project workspace only once over the course of 7 days, if applicable, to prevent spamming clients.
If you need to turn the OOO reply off, just toggle the setting OFF.
Who in a project workspace will the out of office reply send to, and how many times?
When triggered, the OOO reply will send to all participants in the corresponding workspace and appear in the project’s activity feed. The OOO reply will send in a project workspace only once over the course of 7 days, if applicable, to prevent spamming clients.
I have multiple companies in HoneyBook. Which companies will the OOO reply send in?
The OOO reply is an account-wide setting and at this time, cannot be edited on a company-by-company basis. If turned on, the OOO reply will send for all selected activities across all companies.
That said, if you add your email signature to the OOO reply and your brands have unique email signatures, the correct signature will appear for each company.
Will messages my team members send trigger the OOO reply?
Only messages and inquiries received from leads, clients, and collaborators will trigger the OOO reply. New messages from team members will not trigger the OOO reply.
Can I turn the OOO reply on even if no activity is selected?
Yep! This is a great workaround if you don’t want OOO messages to send, but still want to receive a summary of activities you missed while away when you turn the setting back off.
