How to set up automatic replies for inquiries and emails while you’re OOO

HoneyBook has a dedicated out of office (OOO) email feature that you can apply to all, or specific types of, inquiries and emails you receive while away. That way, you can set expectations with new leads and existing clients, and pick back communication with them up once you're available.

  1. From any page, click your profile photo in the top right corner of your screen > select My Account

  2. Scroll down to the Out of Office settings section

  3. From here, you can:

    • Check off the activity types that the OOO reply will send for: contact form inquiries, Scheduler inquiries, lead form inquiries, Meta lead ads, and/or new project messages

    • Click edit message to edit the OOO reply’s subject line and body

  4. Next, click into the date fields and select the:

    1. Start date

    2. End date (optional)

  5. When you’re ready, toggle the OOO reply ON

What happens next:

Your out of office reply will start sending for the selected activities on the start date and stop at 11:59pm on the end date, if set. While on, your OOO reply will send in a project workspace only once over the course of 7 days, if applicable, to prevent spamming clients.

When the end date is reached, or when you manually turn the OOO setting off, you’ll receive an email with a list of all missed activity. This allows you to quickly catch back up and get a pulse on recent inquiries and communication that took place while you were away.

📚 Tip

To prepare for your time out of office, remember to also:

  • Turn off lead and contact form automations to avoid unintended sends

  • Avoid using OOO emails in your integrated email to prevent double responses

  • Block your calendar to stop clients from booking sessions while you’re
