Inbox is a single place to read and reply to every client email and SMS conversation (SMS capabilities require the Business Phone & SMS add-on) across all of your projects, without having to open each project one by one.
Instead of hunting through individual projects to find a message, Inbox brings all your email conversations into one list, so you can see what's new, catch up on anything you missed, and reply right from there.
📣 Note Inbox is currently rolling out gradually, so you may not see it in your account just yet. It's available on web only for now. Mobile support is coming soon. |
Where to find your Inbox
Once Inbox is available on your account, you'll see an Inbox item in your left navigation menu. If you have unread messages, you'll see a number badge next to it. This works whether your navigation menu is expanded or minimized.
Selecting Inbox opens your message list, with a reading pane alongside it where you can read and reply to full conversations.
Understanding Inbox views
At the top of your Inbox, you'll find three views:
View | What it shows |
Unread | Messages you haven't read yet, across all projects and client workspaces. |
All | All received, sent, read and unread messages |
Sent | Messages you've sent, across all projects |
Each row in your list represents a project, not an individual message. If a project has multiple new messages, it still only shows up once, and you won't see duplicate rows for the same project. Each row shows the most recent sender, subject line, and message preview, plus the date and a project chip. Select the project chip to jump straight to that project, or select a contact's name or avatar to open their contact workspace. If the most recent activity on a project is an SMS message, you'll see an SMS icon on that row instead of a subject line, since text messages don't have one.
Reading and replying to messages
Select a project in your list to open it in the reading pane. You'll see all of the communication for that project (every conversation, not just one thread) with the most recent messages at the top, the same way messages appear inside a project or contact workspace. The project name appears at the top of the pane as a link, so you can open the related project at any time.
To reply to a specific message, hover over it and select Reply to thread your response directly to it.
If you'd rather not reply to a specific message, select Send message (the same option you'd use inside a project) to compose a new message. From there, you can choose to send it as a threaded reply or as a new email.
Either way, the composer gives you access to everything you're used to:
Rich text formatting
Attachments
Smart files
Templates and smart fields
Your email signature
Scheduled send (with the option to cancel a scheduled message)
AI assist
Send and reply to SMS messages directly from the composer
Add, change, or selectively choose which participants receive each message
Marking messages as read or unread
Inbox tracks read and unread status per team member, so if a teammate opens a message, it doesn't automatically mark it as read for you.
Hover over a message in your list to mark it as read or unread.
Your unread badge count in the navigation menu updates based on your own read/unread status.
Already read something but still need to follow up? Mark it back as unread so it stays visible in your queue.
New messages currently appear in both your Inbox and your notification bell. Marking a message as read (or opening it) in either place marks it as read in both.
Conversations from archived projects
Conversations that belong to an archived project still appear in your Inbox, so you won't lose access to past client communication just because a project was archived. A status indicator will show which messages are for archived projects.
Role and permission requirements
Access to a conversation in Inbox follows the same visibility rules as opening a project, with one difference: being an admin on its own doesn't automatically surface every conversation company-wide.
Role | What they can see in Inbox |
Owner | Conversations from projects they're a member of, plus any conversation where they were on the email (To or Cc) |
Super Admin | Same as Owner |
Admin | Same as Owner. Being an admin alone does not surface other team members' project conversations |
Moderator | Same as Owner |
Basic Team Member | Only conversations from projects they're a member of |
Read/unread status and the unread badge count are specific to each team member. One person opening a message doesn't change what a teammate sees.
Feature Limitations
The Inbox feature is Web only and isn't available on the mobile app or mweb. Mobile app support is coming soon!
If your account doesn't have an email integration connected, you can read messages in Inbox, but you won't be able to reply from HoneyBook until you connect one.
New messages currently show in both your Inbox and your notification bell. If you'd rather not see new messages in your notification bell, go to your notification center and turn off the checkbox for new messages. You'll still see everything in your Inbox.
