HoneyBook's Business Phone & SMS gives you a dedicated phone number so you can send and receive text messages and calls with your clients, all without leaving HoneyBook. Every SMS conversation is stored directly inside your projects alongside your emails, files, and other communications, keeping everything in one timeline.
At this time, Business Phone & SMS is currently available to members located in the United States only.

Business Phone & SMS is available as a paid add-on to your HoneyBook membership at the following tiers:

SMS messages are counted for both incoming and outgoing messages. If you send a message to multiple contacts in a project, each recipient counts as a separate message toward your plan limit.
Your first charge will happen upon registration, and will be pro-rated based on the remaining days in your current billing cycle, and your SMS credits for that first period will be pro-rated accordingly. From the next billing cycle onwards, the charge will be included in your regular HoneyBook invoice. Members on an annual plan will receive a separate monthly invoice for the add-on.
Once you reach 20 SMS remaining in your plan, you will receive an email warning. When your balance reaches 0, a new bundle will be automatically purchased at your current plan level. Any unused SMS credits roll over indefinitely and never expire.
About Your Dedicated Phone Number
HoneyBook provides you with a dedicated toll-free business phone number to send and receive SMS messages and calls with your clients. This number is assigned to you as part of the registration process. Registration is required by phone carriers to verify your business identity and ensure your messages are delivered reliably and legally. If you ever need to transfer your number, you can request this at any time by contacting support.
If you have an existing business phone number you'd like to use, number porting is coming soon. Stay tuned for updates.
How to Set Up Your Phone Number
Navigate to the SMS landing page. You'll see a pop-up on your first login, or you can access it anytime from the banner on your Home page or through Company Settings under Membership > Paid add ons.
Select the business phone number you'd like to use. Choose carefully, as changing your number later will require going through the registration and verification process again, and you may lose some historical communications in the process.
Select the pricing tier you'd like start with, and complete payment.
Enter your business information, including your legal business name (as it appears on tax documents), EIN/tax ID, business type, industry, and address. This information is verified by carriers and must match your government records exactly. Inaccurate information will result in needing to re-submit, which will extend the time it takes to get approved.
Click Confirm & Submit
📣 Note
Once your number is registered, you will be notified in app and via email. This process typically takes up to 10 business days, but you can still make and receive calls before approval. You can only select from the numbers the carrier has available, and once selected, the number cannot be changed.
Managing Your Number
Once your registration is submitted, your dedicated number will be active for incoming and outgoing calls right away. SMS sending and receiving become available once your registration is approved. We recommend publishing your number on your website, social profiles, and Google Business page so leads and clients can reach you directly.
All team members within your HoneyBook account share the same dedicated number, so any message sent or received by a team member will come from and go to that number.
If you have multiple HoneyBook brands, Business Phone & SMS can only be purchased and used for one brand. It will be tied to the brand from which you purchase it and will not be visible or available in any other brands on your account.
Adding a Client's Phone Number and Collecting Consent
Before you can send SMS messages to a contact, you'll need to add their phone number and confirm their consent to receive SMS from you. Collecting consent is a government requirement and must be obtained before sending any SMS messages.
There are three ways consent can be collected:
Lead form or contact form: A consent checkbox automatically appears on the form when the phone number question is linked to HoneyBook's Contact Phone Number field. This is the default for new forms, but if you're using an older form you may need to open the form, find the contact phone number question, and confirm it is linked to the Contact Phone Number field before republishing.
Inbound text: If a client texts your HoneyBook number first, consent is granted automatically
Manually: Follow the steps below to add a phone number and check the consent box directly on the contact record
To manually add a phone number and collect consent:
Go to the client's contact record
Click Edit
Add their phone number in the Phone number field
Check the box to confirm the contact consents to receive SMS messages
Save the contact record
Sending an SMS Message
You can send SMS messages from any project on both web and mobile.
Open a project
Click Send message
Use the dropdown to select SMS
Type your message. You can also insert emojis, use smart fields, or use a saved template
Select which contacts in the project should receive the message
Click Send
📚Tip
You can use your existing message templates for SMS. You can include ‘SMS’ in the name for easy identification. If a template includes rich text formatting, that formatting will simply be removed when sent as an SMS.
You can save a message as a draft and return to it later. Drafts are available in both the project message composer and the smart file composer.
Once sent, each message will display a delivery status in the project feed so you can confirm it was successfully delivered.
Sending a Smart File via SMS
You can share invoices, contracts, and other smart files directly via SMS. The client will receive a text with a link to the file automatically added to the end of the message.
Create your smart file as usual
Click Share
Select the Send via SMS tab
Choose a template if desired, then click Send
Receiving Messages from Clients
Existing Contacts
When a current HoneyBook contact sends you an SMS, their message is automatically routed to their most recent active project. You'll see it in the project thread and can reply directly from there.
New Leads (Unknown Numbers)
When someone texts your dedicated number for the first time and isn't in your HoneyBook contacts, you'll see their message flagged as an unknown number. From there, you can:
Add to an existing contact
Create a new contact
Mark as spam
If the new lead hasn't provided an email address, we recommend adding a placeholder email for now and following up to collect it. Once the contact is created, HoneyBook will automatically create a project so you can manage the conversation and send files right away.
Voice Calls
Your dedicated HoneyBook number also supports incoming and outgoing voice calls.
Incoming Calls
When a client calls your dedicated HoneyBook number, the call will be forwarded to your phone number on file under Company Settings > My Account. Incoming calls from known HoneyBook contacts are automatically recorded and summarized for your records.
📣 Not receiving calls?
If you are using a mobile device as your business phone number in your My Account Settings, incoming calls may be filtered as spam by your device. If you are not receiving forwarded calls, check your spam or blocked calls folder on your device. For help unblocking numbers, refer to the instructions for iPhone or Android.
Outgoing Calls
You can make outgoing calls directly from HoneyBook on desktop or mobile in two ways:
Navigate to the client's contact record and click Call
Click the client's contact avatar from within a project
Once you initiate a call, HoneyBook will first dial you at the phone number listed in Company Settings. Once you answer, HoneyBook will then dial your client and connect you both.
Staying on Top of Notifications
When a client replies to your SMS, their message will appear in the project feed in HoneyBook and you'll be notified in the following ways:

SMS cannot be replied to via email. You will need to reply via the web or mobile app.

Make sure you're running HoneyBook app version 1.62.3 or above to receive push notifications.
Automating SMS with Workflows
With HoneyBook automations, you can send SMS messages automatically, like replying the moment a new lead submits a contact form.
To add SMS as an automation action:
Open Automations and create a new automation (or edit an existing one)
Set your trigger (e.g., Contact form submitted)
Add an action and select Send SMS or Send file via SMS
Choose your SMS template and file (if applicable)
Set approval settings as needed, then save
Current Limitations
Please keep the following in mind as you get started:
MMS not supported: You cannot send or receive images, videos, or media files via SMS at this time. File sharing is done via smart file links.
International contacts not supported: SMS is currently available for US and Canadian phone numbers only.
Mobile browser not supported: SMS is only available through the HoneyBook desktop app or mobile app. It is not accessible from a mobile browser such as Safari or Chrome on your phone.
