Create a session type in HoneyBook

Learn how to create a session type in HoneyBook — including 1:1, group, and multi-host formats — and configure availability and reminders

Session types let you create a reusable framework for meetings, sessions, or events you schedule regularly — with consistent durations, availability, and instructions. You can create session types for intro calls, mini sessions, consultations, classes, and more.

Starter plan members can create up to one session type. Essentials and Premium plan members can create unlimited session types. Compare plans.


Create a session type

Choose a session format

  1. From the navigation menu, select Tools > Scheduler

  2. Select the dropdown by Create session, then choose a session format:

    • One-on-one: Your dedicated time with a single client

    • Group session: Meet with multiple clients or stakeholders at once

    • Multi-host session: Meet as a team with a single client

📣 Note

  • Group and multi-host session types are only available on the web

  • Multi-host sessions are only available on accounts with team members. If your account doesn't have any team members added yet, you'll only be able to choose the One-on-one or Group session formats.

  • You'll set the number of attendees and, for multi-host sessions, your hosts, in the same session creation modal — as part of entering your session details

One-on-one

The standard format — one host meets with one invitee per booking

Standard 1:1 booking flow

Group session

One host meets with multiple invitees in the same time slot — ideal for classes, workshops, or group consultations

Set a maximum number of invitees per time slot Invitees can book the same slot independently, and the slot remains open until it reaches capacity Once a slot is full, it's no longer bookable Each invitee receives their own confirmation and reminders You're notified for each individual booking Group sessions don't support round robin — you select the host directly rather than rotating between team members

Multi-host session

Multiple hosts meet with a single invitee in the same booking — ideal for collaborative meetings or sessions that require more than one team member

Requires at least one team member on your account Assign multiple hosts to the session type Only time slots where all assigned hosts are available are shown to the invitee One invitee books one slot with all hosts at once Once booked, the slot is no longer available to other invitees All hosts receive a notification when the session is booked If the booking is canceled, the slot becomes available again across all hosts

Enter the session details

Enter the session details. Then, select Next: Set availability.

Session Type

Timezone

The timezone the session will be scheduled in. Learn more about timezone settings.

Duration and Interval

Indicates the total time length of the session

Date range

Choose when the session can be booked:

  • Indefinitely: Clients can schedule for any future date

  • Rolling window: Clients schedule within a set timeframe that’s relative to the current date. For example, up to one week from any given date.

  • Fixed date range: Clients schedule within a defined date range. For example, January 1, 2024–January 31, 2024.

Use session meeting date as the project date

  • This toggle is off by default. When you turn it on, booking this session will set the related project's date. This only applies to the first session scheduled for a project.

  • When there isn’t a project date, a client’s first scheduled meeting date is used as the project date

  • This lets you benefit from automations, interactive fields, reports, and more

Color

The color that represents this session type on your calendar. Colors help you identify session types.

Attendees

Select the maximum number of attendees:

  • 1 for a 1:1 session

  • 2–4 for a small group

  • 5+ for a group or class

Hosts

  • Single host:

    • Round robin: Enable to select team members who'll take turns handling this session

    • Session host: Select your host for the session

  • Multi host:

  • You're automatically set as a host

  • To add more hosts, select the Add a host… dropdown

  • Delegate each host as a Session owner, Co-host, or Notification recipient

Details invitees will see when they book, such as advising attendees how to come prepared

Set the session's availability

  1. Select a day of the week to set its available hours

    • If you want to add one or more timeslots for that day, select Plus icon Add timeslot (plus icon)

    • If you want to repeat a timeslot across every occurrence of that day, select Copy icon Copy time > the days you want to copy the updated times to > Apply

  2. Repeat the previous step for any other days you need to configure

  3. If you want to select specific dates to override and change your time availability for those dates, select Date overrides > + Add date override

  4. Select Next: Confirmation

Additional availability settings

  • Buffer time: Block off an amount of time before or after a scheduled timeslot

    • For example, a 15-minute buffer to organize your notes or take a break

  • Minimum notice: You can set the amount of time needed between a client scheduling a session and its start time

    • For example, if you set 8 hours, a client that schedules a session at 9:00 am won’t have their meeting until 5:00 pm

  • Custom increments: You can set your availability by specifying unique time intervals for client sessions

    • For example, if you set 5 minutes, your availability will show in 5-minute increments

Adjust the session confirmation

  1. In the “Customizable Message” field, edit the message that’ll appear on the confirmation page after the invitee schedules

    • The grey session detail fields can’t be deleted, as they’ll automatically populate the relevant information based on the details of the scheduled session

  2. For additional confirmation settings, you can enable:

    • Clients can reschedule: Attendees can reschedule a session using the link found in the confirmation and reminder messages

    • Clients can cancel: Attendees can cancel a session using the link found in the confirmation and reminder messages

    • Clients get confirmation email: Attendees will get an email confirming the details of the scheduled session

  3. Select Save & publish session

Set up reminders (optional)

You can add up to 2 automated reminders sent to invitees before their session.

  1. Choose a reminder type: Email or Email & SMS

    • Only invitees receive SMS reminders

  2. Select the Pencil icon Edit reminder message (pencil icon) to customize the reminder's subject and content

    • Check Also send email reminders to me if you'd like to receive the reminder emails too

    • Select Trash icon Remove reminder (trash icon) next to a reminder to remove it

  3. If you want to edit or add reminders after a session is scheduled:

    • Find the scheduled session, then select Edit

    • Select Confirmation, then under “Reminders,” edit or delete existing reminders, or add new ones

    • Select Save & publish session
