Setting Up Your Gallery Store

How to turn on the Gallery Store, set up your price sheets, and understand what clients see when they shop your gallery.

The Gallery Store lets your clients and their guests buy prints, and digital downloads directly from the photos in your gallery. No separate store platform needed.

This guide walks you through turning on the Store, setting up pricing, and understanding what your clients will see.

📣 Note

At this time, Gallery Store is in Beta and is being rolled out gradually to photographers with U.S.-based accounts. If you don’t see the Gallery Store option yet, sit tight as access continues to expand. At this time, use of the Gallery Store is subject to HoneyBook's Beta Terms of Service.

What is the Gallery Store?

The Gallery Store is an online shop built directly into your HoneyBook galleries. When it's turned on, anyone viewing the gallery can browse products such as prints, albums, wall art, and digital downloads, select their photos, and check out, all without leaving the gallery.

Products are fulfilled through our print partner, White House Custom Colour (WHCC), so you don't have to manage inventory, printing, or shipping yourself.

If you're currently using an external gallery store (like Pixieset, Pic-Time, or ShootProof), the Gallery Store is designed to replace that separate tool, keeping your sales, client management, and payments in one place.

Before You Start: Key Terms

Term

What it means

Price sheet

A set of products, prices, and markup rules you apply to a gallery. You can create multiple price sheets (e.g., one for weddings, one for portraits) and assign different ones to different galleries.

Base Price

The price shown in your price sheet before markup is applied

Markup

The amount added on top of the list price to determine your profit and the client's price. Maximum markup is 500%.

Price rounding

An optional rule that rounds your final client-facing prices up to a clean number (ending in .00, or .99 — sometimes called a "promo price").

Lab color correction

An optional add-on where a WHCC technician manually reviews and corrects each photo's color profile before printing, for an additional fee.

Processing fee

The credit card processing cost for an order. You can choose to absorb this fee or pass it to your client at checkout (passing fees is available to US-based members only, for clients paying by credit card, debit cards are excluded. Learn more here).

Head office address

The primary business address you provide when setting up sales tax collection.

Tax registration

A jurisdiction where you're registered to collect sales tax. You can add more than one, managed in a table powered by Stripe.

Step 1: Set Up the Store

There are two places to start Store setup: At the account level, or from an individual gallery.

Option A: Account-level setup

This is recommended if you plan to use the store across multiple galleries. To set up the store at the account level:

  1. Go to Galleries and open the account-level gallery settings.

  2. Under Store setup, click Set up store to begin the first-time setup experience.

  3. Review the default price sheet we've created for you. Check the name, markup, rounding, processing fee pass-through, and lab color correction settings. (You can change any of these later. See Step 3 below for more details)

  4. Select which products to include on this price sheet.

  5. Set up sales tax:

    • Enter your head office address.

    • If your business is registered to collect sales tax, enter at least one jurisdiction. You can add more later.

    • Sales tax is automatically applied to all orders and is calculated based on where the client is located.

  6. Click Save. You'll see a confirmation that the Store was set up, with the option to go to your galleries (to toggle the Store on per gallery) or click Got it to land on your account-level settings, where you'll now see both the Price sheet card and the Store tax card.

Option B: Set up from an individual gallery

To enable the store on a single gallery:

  1. Open a specific gallery and go to its Settings tab.

  2. If the Store hasn't been set up on your account yet, you'll see the same first-time setup experience described above.

  3. At the end, you'll be asked whether to enable the Store for this gallery right away, or do it later.

  4. If you've already set up the Store at the account level, this gallery's Settings tab will simply show a Store toggle instead of the full setup flow.

You'll also see a Store setup entry point from the Store Orders tab if the Store hasn't been enabled yet.

Step 2: Turn the Store On or Off for a Gallery

  1. On a gallery's Settings tab, you'll see the Store toggle along with the price sheet assigned to that gallery (your account's default price sheet, unless you choose a different one).

  2. Switch the toggle on or off at any time.

  3. Once the gallery is published, the Store is live immediately. If it isn't published yet, publish it so clients can see the Store.

📚 Tip

Click Preview store at any point to see exactly what your clients will see, before or after publishing.

Step 3: Choose, Create, or Manage a Price Sheet

To assign an existing price sheet:

  1. On the Store tab, open the Select a price sheet for this gallery dropdown.

  2. Choose a price sheet (e.g., "Wedding price sheet").

  3. Products from that sheet populate automatically, grouped by category, each showing a starting price.

To create a new price sheet:

  1. From the price sheet dropdown, choose to create a new one and enter a name.

  2. Set your markup (see Setting Your Markup below).

  3. Choose price rounding, whether to pass the processing fee to clients, and whether to enable lab color correction.

  4. Click Save. The price sheet is ready to use immediately. If you click the close icon instead, you'll be asked to confirm discarding your changes.

Managing your price sheets

  • You'll always have one default price sheet, and it can't be deleted — you need at least one.

  • You can set any price sheet as the default — this is the one automatically applied whenever the Store is turned on for a gallery.

  • A price sheet can be used by many galleries at once. When you edit one, we'll ask you to confirm the change, since it will apply to every gallery using that sheet. Click the "Used by X galleries" link inside the editor to see and navigate to each one.

  • Deleting a price sheet requires confirmation if it's attached to any galleries — those galleries automatically fall back to the default price sheet.

Setting Your Markup

Markup is the amount you earn on top of the base price and is what determines your profit and what the client ultimately pays.

For example, a $10 base price with a 100% markup means the client pays $20, and you profit $10.

The default markup is 100%, and is capped at 500% platform-wide.

Step 4: Customize Your Price Sheet

Click Edit price sheet (pencil icon) to adjust:

  • Price sheet name

  • Markup — the amount you earn on top of the base price; maximum 500%

  • Price rounding — no rounding, round up to .00, or round up to .99

  • Pass processing fees to client — only applies to US credit card orders; debit cards and Canadian clients always have the fee absorbed by you. To learn more about passing on fees, click here.

  • Lab color correction — a WHCC technician manually reviews and corrects each photo's color before printing. This adds a fee of $1.50 per photo. The price is automatically added to the base price.

You can also hide individual products from a price sheet without deleting them — hidden products can be shown again anytime.

Step 5: Review Product Pricing

Click into any product to see:

  • Product description and material details (e.g., paper type, archival rating)

  • Available sizes and finishes.

  • A full pricing breakdown per size/finish, shown in an expandable accordion: base price, your profit, effective markup %, and final client price.

In this initial release, prices are calculated automatically from your bulk markup setting and can't be edited per item.

Step 6: Add Digital Downloads

Digital downloads are managed inside the same price sheet editor:

  1. Open Edit price sheet and find the Digital downloads category.

  2. Add any of the following: Single photo download, Single video download, or Entire album download (delivered as a high-resolution zip file).

  3. Name each product, write a description, and set a price (or $0 for a free download).

  4. Toggle visibility on/off per product, the same way as physical products.

  5. If your gallery already has free downloads turned on, we'll suggest disabling that setting so clients aren't offered a free option alongside a paid one — you can do this right from the price sheet editor, and you'll see a confirmation toast once it's off. This is only a suggestion; you can leave both enabled if that's what you want.

  6. Save. A confirmation toast appears, and the products now show in your Store tab under Digital downloads.

All digital downloads are currently delivered at full, original resolution. If you also offer free downloads, see step 5 above on disabling that setting to avoid offering a paid and free version of the same thing.

Step 7: Confirm Your Payment Setup

To set up the Store, you'll need to connect a bank account through HoneyBook's standard payment verification. This is required before the Store can go live, not just before you get paid.

If you disconnect or remove your bank account later, the Store will automatically deactivate. Your price sheets and settings are preserved, so everything picks back up right where you left off once the bank account is reconnected.

What Your Client Sees

  1. Clients open the gallery and browse the store navigation, organized by category.

  2. They can start a purchase either from a specific photo (choosing a product for that photo) or from a product page (choosing which photos to use) — either way, they can crop their photo using a draggable selection square before adding it to the cart.

  3. For larger orders, clients are prompted to sign in with their email to save their cart for later, or continue as a guest.

  4. At checkout, clients enter shipping info, billing info (if different from shipping), and choose a shipping method, then review payment — including whether a processing fee is being passed to them.

  5. They receive a confirmation with their order total and transaction details.

After checkout:

  • Physical products are sent to WHCC for fulfillment automatically.

  • Digital downloads are delivered via an emailed download link.

  • To check on an order anytime, clients can sign in and visit My Orders.

Managing Orders

Activity tab: Shows client engagement with the gallery: photos favorited and downloads.

Store Orders tab: A separate tab showing every order placed on that gallery, including client contact info, order value, and status. Clicking a row opens an order detail modal with line items, pricing breakdown, shipping and billing addresses, and tracking number. This is where you'll go to check on or help a client with a specific order.
