Syncing your external calendar to HoneyBook

How to share events between your Google, Outlook, or iCloud Calendar and HoneyBook

Updated over a week ago

Syncing your external calendar (Google Calendar, Outlook Calendar, or iCloud Calendar) to HoneyBook, and vice versa, makes sure that you have all your events in one place. You can read more about what information syncs here!

📣 Note

Currently, direct calendar-syncing is available with Google Calendar, Microsoft Outlook Calendar, and Apple iCloud Calendar (iCal). Other calendar types are not supported.

At this time, only one calendar host can be integrated with HoneyBook. However, if you connect your other calendars with the external calendar that is synced to HoneyBook, you can have the other calendars (and their events) appear in your HoneyBook Calendar, too.

Connecting your external calendar to HoneyBook

1. Select your profile icon → select Company Settings.

2. In the left navigation bar, select Integrations.

3. Find the Calendar card select Connect.

4. If you’re connecting a Google Calendar; click Connect Google Calendar. Otherwise, enter the email address associated with the calendar you’d like to sync, then click Continue.

5. Now, proceed with the steps relevant to your calendar type! You can:

Completing a Google Calendar sync

1. Once you’ve completed steps 1-5 of connecting your external calendar, including clicking Connect Google Account, you will be redirected to a Google authentication page.

2. Select the email associated with the calendar you’d like to sync from the provided list.

3. Review and grant HoneyBook access to your Google Calendar.

4. Select your sync preferences. You can choose one or both of the following:

  • Share HoneyBook calendar events in your Google calendar

  • Show Google calendar events in your HoneyBook calendar

📚 Tip

If you toggle the or both of these options on, you can further designate what information syncs—for example, if there are additional calendars that have been shared with you in Google, you can choose to make those visible in HoneyBook as well.

That's it! Your calendars should now start syncing in whichever direction you chose. You can always adjust these sync settings in the future by clicking the gear icon in the Google section that appears upon hover!

If you've synced your HoneyBook calendar to Google but are not seeing your HoneyBook projects appearing in your calendar, be sure to double check your settings:

1. Launch a web browser on your mobile device or desktop.

3. Sign in, if necessary.

4. Under Shared Calendars, tick the boxes for the calendars you want to see.

Completing an Outlook Calendar sync

📣 Note

If you have 2-factor authentication (2FA) enabled for your Outlook account, you will need to generate an app password to complete the sync. The newly-generated password will not replace your normal password; it will just be used for the calendar sync!

1. Once you’ve completed steps 1-5 of connecting your external calendar, including entering your Outlook email address, you will be redirected to an Outlook login page.

2. Enter your password to complete the integration.

  • If you have 2FA enabled for your Outlook account: enter your app password

  • If you do NOT have 2FA enabled for your Outlook account: enter your regular Outlook account password

3. Select your sync preferences. You can choose to show Outlook Calendar events in your HoneyBook calendar, and further designate what information syncs—for example, if there are additional calendars that exist in your Outlook account, you can choose to make those visible in HoneyBook as well.

That's it! Your calendars should now start syncing. You can always adjust these sync settings in the future by clicking the gear icon that appears when you hover by your email address!

Completing an iCloud Calendar sync

📣 Note

You will need to generate an app password to complete the sync with your iCloud Calendar. The newly-generated password will not replace your normal password; it will just be used for the calendar sync!

1. Once you’ve completed steps 1-5 of connecting your external calendar, including entering your email address, click here to log in to your Apple account.

2. Click Generate Password. This will create a one-time password to grant access to HoneyBook. It will not replace your normal iCloud password.

3. Enter HoneyBook as the new password label and click Create.

4. Enter your existing iCloud password and click Continue.

5. Copy the one-time password and click Done.

6. After you’ve created and copied the app password, head back to your HoneyBook calendar page and use the password to complete the integration.

7. Select your sync preferences. You can choose to show iCloud Calendar events in your HoneyBook calendar, and further designate what information syncs—for example, if there are additional calendars that exist in your iCloud account, you can choose to make those visible in HoneyBook as well.

That's it! Your calendars should now start syncing. You can always adjust these sync settings in the future by clicking the gear icon that appears when you hover by your email address!

Understanding what information syncs

For a full breakdown of what will and will not sync between calendars, check out this article!

📣 Note

Even if calendars are synced, editing a HoneyBook event when viewing it in your external calendar will not push changes to HoneyBook—nor will editing an external calendar event from HoneyBook push changes to your external calendar.

While the HoneyBook-to-external calendar and the two-way sync enable you to see your own HoneyBook meetings and projects in your external calendar, you will not be able to see team member's events in your external calendar, even if you have them toggled to be visible in HoneyBook.

If you want to make sure your mobile calendar and HoneyBook app sync as well, you'll also need to check that your mobile phone and the HoneyBook app have access to your calendars.

In your phone's settings, make sure you've added the account you need synced (most people already have this set up!).

You'll also want to double check in the device's settings for HoneyBook that access to your calendar is toggled on.
